Migration Workflow Intern
Job Summary
Migrating these titles is essential to achieving fully aligned processes efficient staff training consistent reporting and integration with Emeralds endtoend publishing systems.
This internship will play a key operational role in supporting the migration including workflow mapping editor engagement system preparation and coordination of the transfer of active manuscripts. This project allows for hands-on experience in publishing operations systems migration stakeholder management and cross-functional project delivery.
This internship will be for a duration of 3 months.
Location: We perform at our best when we feel trusted and are able to choose an approach to working that suits us best which is why we are a remote-first company. However we also believe in face to face collaboration and our UK colleagues meet once a month for team time and quarterly for company get togethers in our Leeds office so we ask that you be within a commutable distance that you are comfortable with in order to attend the office on those occasions.
Please note that although we are a remote-first company the role will need to be carried out from the UK. As such we are unable to accommodate remote arrangements from other countries.

Day to day youll work on:
- Workflow mapping and alignment of current submission and peer review workflows to identify practices or workflows that require attention prior to migration. Produce clearly documented process maps to support decision-making and system configuration.
- Editor Engagement and Relationship Support: Work closely with editors to guide them through migration expectations timelines and changes to their processes. Assist in gathering editor preferences for elements of ScholarOne configuration when required.
- ScholarOne System Preparation and Configuration Support: Collaborate with the ScholarOne Systems Manager to translate workflow findings into system configuration requirements. Assist in testing configured workflows to ensure they align with editorial needs. Support the creation and review of draft settings for journal accounts templates and communication tools.
- Active Manuscript Transfer Planning and Execution: Work with the Peer Review team ScholarOne manager production and external contacts to determine which active manuscripts need to move how they will be transferred and which metadata files reviewer assignments and histories must be preserved. Support with data preparation quality assurance checks and migration tracking. Assist with drafting communications to authors reviewers and editors about the move.
- Cross-Department Collaboration: Collaborate with production teams to ensure downstream processes remain uninterrupted. Work alongside commissioning editors to prepare communications and support author/reviewer queries. Partner with the Peer Review Lead and senior stakeholders to monitor project timing risks and dependencies.
- Documentation and Reporting: Maintain accurate records of workflows decisions configurations and migration progress. Assist with drafting internal updates and preparing materials for leadership briefings. Contribute to a post-migration summary evaluating what went well and lessons learned for future migrations.
