  • Position: Activities Administrative Assistant

    Location: Uinta County School District #1 Evanston Wyoming

    District Office

    Salary: S2; 4-7; $18.00 per hour; regular full-time

    Hours: 8 hours/day; 5 days/week; 12 months

    Primary Job Function:

    The Uinta County School District #1 Activities Administrative Assistant is responsible for supporting the work of the Director of Activities in providing leadership supervision and coordination of all sports programs and as well as other student activities K-12 to provide students with a worthwhile learning experience.

    Minimum Qualifications:

    • High School diploma or equivalent
    • Preferred college-level course work in business secretarial science or related field
    • Preferred five (5) years of increasingly responsible secretarial or administrative assistant experience.
    • Preferred two (2) year experience working with athletic and cultural events

    Essential Duties and Responsibilities: Primary functions may include the following duties responsibilities skills abilities and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be a comprehensive listing of tasks performed by all positions within this classification.

    Student Clubs and Organizations

    • Responsible for elementary schools activities
      • Aspen Elementary
      • Clark Elementary
      • North Elementary
      • Uinta Elementary
    • Responsible for assisting with the coordination concerts piano tuning and school pictures
    • Responsible for any other programs where buildings might need support. This includes:
      • EHS
      • EMS
      • DMS

    Athletics

    • Responsible for assisting with scheduling of all athletic activities
    • Responsible for developing regional sports tournaments. This includes but may not be limited to:
      • Regional tournaments for volleyball basketball wrestling soccer swimming football and track
    • Responsibilities for regional tournament can include but are not limited to:
      • Creating invitations/emails
      • Creating brackets
      • Creating programs
      • Recruiting/hiring workers and officials
      • Purchase awards and event shirts
      • Establish hospitality room assuring that food and drink are provided
    • Responsible for sending press releases detailing event results to WHSAA
    • Responsible for booking all lodging for Athletic Director and all team members. Note: Looking out a year in advance for location of Regional and State tournaments location

    Communication and Support

    • Responsible for assisting with the research for all the services required to support student activities
    • Responsible for supporting the scheduling of concussion training drug testing filming and stat information
    • Responsible for keeping Human Resources informed of open coaching positions
    • Responsible for supporting HR with appropriate paperwork that releases ad validates new hires
    • Responsible for assisting HR with contracts for coaches
    • Responsible for organizing coaches meetings as needed
    • Responsible for supporting district communications with the creation/design of needed posters banners sponsor signs etc.
    • Responsible for generating reports for the Athletic Directo and Superintendent as needed

    Budget and Finance

    • Responsible for all purchases for district activities including travel expenses
    • Responsible for coordinating purchase orders for all activity expenses. This includes but is not limited to:
      • Equipment
      • Uniforms
      • Dues for state and regional conferences
      • Tournament entry fees
      • Credit card purchases
    • Responsible for preparing money boxes checking cash amounts and balancing event proceeds
    • Responsible for balancing activities budget
    • Responsible for understanding the scope of activities budget and allocating dollars equitably between male and female sports

    KNOWLEDGE SKILLS AND ABILITIES

    • Knowledge of record-keeping techniques
    • Knowledge of office practices and procedures
    • Knowledge of State of Wyoming and federal regulations and policies regarding personnel matters and employment civil rights Title IX FWCS code of conduct
    • Knowledge of English grammar spelling and punctuation
    • Knowledge of basic mathematics
    • Knowledge of UCSD#1 policies and procedures
    • Knowledge of basic athletic and cultural events
    • Knowledge of district co-curricular activities
    • Knowledge of Title IX
    • Skilled at organizing planning scheduling and coordinating all activity programs and events
    • Ability to work in a diverse environment
    • Ability to communicate effectively with students parents teachers administrators community and staff
    • Ability to collaborate and work closely with district managers and administrators in the scheduling of facilities arranging for staff care of athletic fields activity equipment and needs
    • Ability to transport self among district buildings and to regional and state meetings and workshops as necessary
    • Ability to think outside the box
    • Ability to analyze situations accurately and adopt an effective course of action
    • Ability to interpret apply and explain rules regulations policies and procedures
    • Ability to promote positive staff morale
    • Ability to organize multiple tasks and conflicting time constraints.
    • Ability to engage in self-evaluation with regards to leadership performance and professional

    Physical Demands & Working Conditions:

    • Physical Demands ï½ While performing the duties of this job the employee is regularly required to communicate with others. The employee is required to sit or stand and move around for extended periods of time. While performing the duties of this job the employee must be able to push pull lift and carry over 25 pounds on occasion.
    • Working Conditions ï½ The employee in this position may experience occasional exposure to blood bodily fluids and tissue. The employee may also be required to interact with unruly children.
    • Driving Requirement ï½ This position may require driving.
