Responsibilities:
The Payroll Specialist acts as liaison for entire payroll operations in collaboration with accounting teams and external payroll partners across multiple countries. The role focuses on accurate data handling coordination with vendors HR or any other internal stakeholder and timely payroll processing within an international payroll model.
1. Payroll input & review responsibilities
Gather payroll inputs (timesheets car logs and other relevant data) from internal departments (e.g. data provided by the Human Resources team)
Review and analyze input data clarifying discrepancies where needed
Provide payroll input data to external payroll partners using agreed templates and communication channels
Support the verification of employee classification and correct cost center allocation in journal entries
Support the maintenance and communication of the payroll calendar with internal and external partners
Coordinate payroll output delivery with external payroll partners and follow up to ensure timely completion
Review payroll calculations received from vendors and support clarification and corrections when needed
Ensure required internal approvals are obtained prior to payroll finalization
Prepare and verify payroll reports and supporting documentation as required (e.g. periodical declarations to authorities)
3. Payroll payments process support
Coordinate receipt of payroll-related bank files from external payroll providers
Inform the Controller when bank approvals are required
Follow up on payroll payments and support resolution of returned or rejected payments
Support the accounting team with bank filerelated issues when they arise
4. Accounting support responsibilities
Ensure journal entries are received from external payroll providers and follow up when needed
Support external payroll providers during journal entry preparation within defined payroll team responsibilities
Ensures Seamless HRPayroll collaboration ensures accurate onboarding compliant payroll processing and a smooth employee lifecycle from day one to exit
6. Systems & employee support
Update employee bank account information in NetSuite
Handle employee payroll-related requests via ticketing systems
Provide timely support and guidance to employees on payroll-related topics
Support additional operational activities in line with department needs.
Support and participate in internal and external payroll audits

Requirements:
Required Education and Experience
3 - 5 years of experience in payroll finance or related administrative roles within a multinational environment
Proficiency in English
Experience working with ERP systems (NetSuite experience is an advantage)
Required Qualifications
Strong attention to detail and analytical skills
Ability to work effectively in a fast-paced deadline-driven environment
Able to work independently while following established processes and controls
Internal and External Interfaces
Collaboration with external payroll providers
Close cooperation with Finance and HR teams
