Role Overview
As the Assistant Admissions Officer you own the health and performance of the inbound admissions pipeline. Your mission is to ensure every lead is engaged with speed and precision Admissions Officers (AO) calendars remain consistently full and the conversion from first contact to booked consultation is continuously optimised. You are the engine room of the ANZ Admissions team.
Key Responsibilities
1. Pipeline & Queue Management
Own all stages of the lead queue (New Attempted Contact Contacted Booked).
Ensure all leads are engaged within our Gold Standard window: within 2 hours during work hours and within 24 hours during off-peak.
Proactively manage Admissions Officers (AO) schedules by identifying gaps and filling them with ready-to-talk families.
Act as a true extension of the Admissions team assisting with late payment follow-ups event protocols and student meet-ups when required.
2. High-Touch Engagement
Use phone SMS and email to connect with families focusing on building rapport and excitement about the consultation.
Use guided questions to understand a familys needs ensuring they are a great fit for our programs before they reach the AO.
Dont just book the call ensure they show up. Proactively follow up with no-shows and handle rescheduling immediately to keep the momentum high.
Maintain a real-time accurate record of every interaction in HubSpot so the team always knows exactly where a family stands.
3. Optimisation & The Feedback Loop
Continuously test and suggest improvements for email templates SMS scripts and call openers to see what resonates best with families.
Act as the eyes and ears on the ground by reporting back to Marketing on lead quality and common questions or objections you are hearing from families.
Actively share insights with the wider team to elevate our collective performance.
Skills & Experience
Fluent in English both spoken and written.
Outstanding written and verbal communication skills are a must.
A natural ability to build rapport quickly over the phone and a passion for helping students succeed.
You are the person who never lets a to-do item slip through the cracks.
Previous experience with HubSpot or Salesforce is a major plus.
You thrive in a fast-paced environment and are always looking for a better way to do things.
A strong work ethic and the ability to represent Crimson Global Academy with polish and energy.
