MalaceHR is seeking a Facility Manager (FM) to support a client site in Plainfield IN through a 12-month fixed-term assignment. This role is critical during a transitional period within an Integrated Facilities Management (IFM) model and requires a hands-on onsite leader who can operate as the business owner for a dynamic warehouse/industrial environment.
The Facility Manager will be responsible for financial oversight vendor management team leadership and operational execution ensuring the facility operates safely efficiently and in alignment with client expectations. This role interfaces directly with onsite client stakeholders and requires strong collaboration with internal teams and third-party vendors.
Key Responsibilities
Financial Management (Critical)
Develop manage and maintain the site operating budget
Track expenses validate invoices and manage accruals and forecasting
Monitor pass-through vendor costs and identify savings opportunities and financial risks
Support financial reporting and budget performance tracking
People Management (Critical)
Lead and manage onsite facilities staff including Operating Engineers
Set priorities drive accountability and manage team performance
Provide coaching structure and leadership to ensure operational excellence
Client & Stakeholder Management (Critical)
Serve as the primary onsite point of contact for client stakeholders
Provide clear concise updates on operations risks and resolution plans
Build strong relationships and maintain credibility with client and vendor teams
Collaborate with multiple onsite partners in a shared environment
Supplier & Vendor Management
Oversee hard and soft service providers (janitorial waste pest control MEP plumbing lighting fire/life safety dock/door systems etc.)
Ensure vendors meet scope quality standards response times and safety requirements
Track vendor performance against KPIs and SLAs
Drive continuous improvement and cost efficiency
Technical Facilities Oversight
Maintain operational understanding of industrial/warehouse systems including:
HVAC electrical plumbing
Fire/life safety systems
Dock equipment and lighting systems
Ensure preventative and reactive maintenance programs are executed effectively
Operational Execution
Manage day-to-day facility operations including site walks and inspections
Oversee work order completion and service delivery
Coordinate vendor activities and resolve facility-related issues
Proactively identify and mitigate operational risks
Compliance Safety & Risk (Critical)
Promote a safety-first culture across all operations
Oversee vendor safety practices and compliance activities
Ensure adherence to all regulatory and operational standards
Manage incident reporting and escalation procedures
Systems & Reporting
Utilize CMMS systems (e.g. Corrigo or equivalent) to manage work orders and reporting
Track KPIs such as response times maintenance ratios and asset performance
Maintain accurate documentation asset records and reporting cadence
Transition & Mobilization
Support site startup transition and stabilization activities
Assist with vendor onboarding and scope alignment
Establish operational processes documentation and baseline conditions
Qualifications
Bachelors degree in Facilities Management Engineering or related field (or equivalent experience)
5 years of experience in facilities management preferably in industrial or warehouse environments
Strong financial management and budgeting experience
Proven experience managing vendors and service contracts
Working knowledge of building systems and maintenance practices
Experience with CMMS platforms (Corrigo preferred)
Strong leadership communication and problem-solving skills
