Description:
Job duties may include: using business data and information about economic and market trends to predict future market conditions and demand for products; use research statistics and data for computer modeling to inform or confirm your predictions; report your findings to your supervisor or department lead and recommend production methods and quantities to meet future demand and maximize profits; develop reports production targets and recommendations with the help of other analysts and statisticians.
Education/Experience:
Bachelor Degree in applicable profession business or technical discipline or an equivalent combination of education training and experience. Possesses ten or more years of experience.
Day-to-Day Responsibilities/Workload:
- We are seeking a dedicated and detail-oriented Project Support Analyst (PSA) to join our team.
- You will be responsible for supporting the various portfolios and projects.
- Your role will involve managing project financials running SAP reports and ensuring our PMO tool UMT360 is actively updated with all the right project information (schedule milestones RAID log etc.).
- You will also assist Delivery Managers and the Project Manager with capturing meeting minutes maintaining the project RAID log preparing presentations creating WO PO Packages and more. As you get comfortable and up to speed we will increase your responsibilities to align with your skills and interests.
Required Skills/Attributes
Project Management Duties:
- Facilitate meetings in the PMs absence.
- Capture meeting minutes and assign and track action items by maintaining communication channels with project leads Managed Services Providers (MSPs) Project Managers (PMs) and coordinators.
- Maintain UMT status reporting resource plan project schedule risks issues decisions and lessons learned.
- Coordinate project communication activities.
- Schedule project meetings with the stakeholders and coordinate scheduling requests and delays with stakeholder admins.
- Ensure the project team is prepared for meetings.
- Assist in MSP and resource onboarding
- Capture lessons learned on a regular cadence.
- Maintain the project SharePoint repository and ensure decisions important emails and project artifacts are saved in the correct location.
- Monitor project dashboards for accuracy and initiate conversations with the dashboard POC to make changes or fix errors.
- Provide PowerPoint Visio Excel and MS Project expertise when required.
Financial Duties:
- Review SOWs and POs for accuracy and proper template use.
- Remind MSPs to submit invoices on time and follow up at the end of the month.
- Advise DM on milestone payment readiness.
- Attend PMO and DM meetings in PM/DMs absence.
- Collect and prepare PO and CO approval package documentation for submission and serve as the POC for follow-up requests during the order creation.
- Regularly monitor project costs using SAP to ensure the accuracy of the cost assignments.
- Coordinate the creation and retirement of project WOs.
- Act as the POC for any questions requiring a snapshot of the project finances.
- Create reporting for project finances upon request.
- Prepare and submit a project financial forecast to UMT in coordination with DM.
- Prepare and submit a monthly project finance variance report.
Desired Skills/Attributes:
- Proficiency in Microsoft Suite (Excel PowerPoint etc.).
- Knowledgeable in SAP UMT and PowerBi.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and priorities effectively.
