Job Description:

The Financial Aid Office at Madison College is seeking a Financial Aid Coordinator to support the accurate administration of financial aid through management of the Return of Title IV process administration of state aid programs and oversight of public and private funding sources.

This position involves evaluating student eligibility resolving funding issues collaborating with institutional stakeholders and performing system testing to ensure compliance with financial aid regulations.

Financial Aid Coordinator contributes to institutional objectives by strengthening financial aid operations maintaining regulatory compliance and supporting student access to funding.

Position Details:

Schedule: Monday through Friday 8:00am 4:30pm. This position has the option to work fully remotely in Wisconsin subject to change in accordance with Madison College policy.

Accountabilities:

  • Manages the Return of Title IV process by reviewing student withdrawals performing federal aid calculations and ensuring compliance with regulatory requirements to maintain institutional integrity.
  • Administers and reconciles state financial aid programs by overseeing the Higher Education Aids Board (HEAB) programs resolving funding issues and ensuring accurate distribution of aid.
  • Oversees public and private funding programs by coordinating aid disbursement troubleshooting eligibility concerns and ensuring compliance with funding requirements.
  • Collaborates with institutional stakeholders by working with relevant units to reconcile funding removals troubleshoot system issues and streamline financial aid operations to ensure fiscal accountability and accurate transaction entries.
  • Ensures compliance with financial aid regulations by testing system updates identifying potential impacts on processes and recommending necessary adjustments.
  • Resolves complex financial aid inquiries by responding to escalated concerns via phone email and written correspondence to provide clear and accurate information to students.
  • Contributes to an inclusive equitable and supportive environment where everyone at the institution feels valued respected and empowered to reach their full potential.
  • Adheres to college policies directives and work rules while maintaining a commitment to the colleges mission vision and values.
  • Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Knowledge Skills & Abilities

  • Knowledge of federal state and institutional financial aid regulations.
  • Knowledge of financial aid systems reporting requirements and regulatory updates.
  • Skill in analyzing and calculating financial aid awards.
  • Skill in data analysis and interpretation.
  • Ability to manage multiple processes meet deadlines and maintain accuracy in a fast-paced environment.
  • Ability to resolve complex financial aid inquiries by providing clear and accurate information.
  • Skill in engaging positively with all populations and communities contributing to a safe and inclusive learning and work environment.
  • Skill in effectively and respectfully communicating with others.

Minimum Requirements:

Education:

  • Associates Degree or equivalent relevant work experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.

Work Experience:

  • 0-2 years of relevant work experience

Preferred Work Experience:

  • Direct financial aid experience
