The Administrative Assistant for Technology Operations serves as a vital partner in the mission to modernize the school district. This role transitions beyond traditional clerical duties to act as a catalyst for efficiency managing complex purchasing processes and piloting new departmental workflows. Essential Functions & Responsibilities
1. Strategic Procurement & Compliance
Manage the end-to-end purchasing process for all technology hardware software and services.
Ensure all financial transactions and procurement activities strictly adhere to district policies state statutes and federal requirements (including E-rate and grant compliance).
Compliance & Reporting: Coordinate yearly documentation for mandated training and regulatory requirements (e.g. CIPA ITSP-1 and E-rate).
Specialized Analysis: Provide data and cost analysis for district-wide foundations and educational partners as needed.
2. Operational Support & Coordination
Strategic Communication: Coordinate and communicate department expectations and initiatives as directed by leadership.
Asset & Approval Management: Maintain the official approved hardware/software registers and facilitate the vetting process for new application requests.
Service Operations: Assist in the maintenance and processing of Help Desk orders to ensure timely resolution of technology needs.
Financial Tracking: Monitor and process documentation for departmental travel expenditures and reimbursements.
3. Process Innovation & Best Practices
Actively participate in the Beta Testing of new administrative processes software and workflows within the Tech Department.
Develop and maintain comprehensive Standard Operating Procedures (SOPs) for departmental tasks.
Serve as a resource and model for other district departments by demonstrating streamlined administrative best practices.
4. Data Management & Spreadsheets
Utilize advanced spreadsheet functions (Google Sheets/Excel) to track budgets inventory levels and project timelines.
Generate reports that provide data-driven insights into departmental spending and operational efficiency.
Be willing to continuously learn and master new data management tools as they are introduced.
