Administrative Coordinator Description
Our client is seeking a detail-oriented Administrative Coordinator to support their President and help drive day-to-day this role youll act as a trusted right hand to leadershipensuring schedules run smoothly communications are handled efficiently and key priorities stay on track. From managing an executive calendar and coordinating meetings to supporting accounting processes and office operations youll play a pivotal role in keeping the business running seamlessly. Youll also partner closely with the Business Manager to assist with back-office functions including accounts receivable vendor coordination and operational logistics. The ideal candidate is highly organized proactive and thrives in a fast-paced team-oriented environment. You should be comfortable juggling multiple priorities communicating across teams and handling sensitive information with discretion. Administrative Coordinator Responsibilities
Manage the Presidents calendar meetings communications and daily priorities
Prepare correspondence agendas meeting materials and track follow-ups/action items
Serve as a primary admin point of contact for leadership and internal/external stakeholders
Process incoming payments in QuickBooks
Manage deposits and handle A/R follow-ups and collections
Assist with payroll coordination and support insurance administration
Partner with the Business Manager to support daily office operations deadlines and documentation
Coordinate vendors facilities and office operations including supplies services and compliance
Maintain company vehicle records scheduling and compliance requirements
Support event coordination shipping/packaging needs and general operational projects
Administrative Coordinator Qualifications
3 years of administrative support experience required
Professional services industry experience required
Highly organized with strong time management and multitasking abilities required
