Are you an organized customerfocused professional who enjoys supporting students and community partners The College of Western Idaho (CWI) is seeking anAdministrative Assistant IIto provide frontline administrative and operational support for Workforce Development programs. This role serves as a key point of contact for students instructors and organizations helping them successfully navigate registration scheduling training and certification processes.

In this positionyoullmanage sensitive records support daily program operations and ensure a positive experience for every individual who interacts with Workforce Development.

Student & Customer Support:

  • Serve as the primary point of contact via phone email and in person for Workforce Development

  • Provideaccurateinformationregardingprograms registration policies and procedures

  • Assiststudents and organizations with registration basic advising scheduling questions and billing concerns

  • Conduct basic assessments todeterminecustomer needs and route to appropriate staff or functional areas

  • Collect and escalate concerns as needed to ensuretimelyresolution

Workforce Development & Program Support:

  • Provide administrative support to Workforce Development programs and instructional staff

  • Prepare student completion letters certificates and related documentation

  • Schedule arrange andfacilitatetesting and exam proctoring as needed

  • Distribute certifications and support course completion activities

  • Ensure classrooms are physically prepared for instruction and provide materials to instructors

Records Data & Administrative Operations:

  • Create process andmaintainconfidential student records files correspondence and billing information

  • Completeaccuratedata entry and record maintenance in Colleague and other college systems

  • Prepare and update materials for internal and external communications

  • Order andmaintainoffice supplies and equipment when applicable

  • Schedule appointments return customer phone calls andassistwith departmental projects

Collaboration & Institutional Support:

  • Support college and department events such as orientations meetings and community engagements

  • Display a cooperative professional attitude while working with staff at all levels

  • Prepare recommendations for improvements based on policies procedures and prior experience

  • Convey by words and action the values expected by CWI

  • Perform other duties as assigned

Work Environment & Scheduling:

  • This positions schedule may vary based on college needs includingpossible eveningand weekend coverage

  • Schedule adjustments may be adhoc or permanent depending on operational requirements

WhatWereLooking For:

  • High school diploma or equivalent

  • Minimum of two (2) years of administrative assistant or customer service experience in a professional environment

  • Exceptional customer service and interpersonal skills

  • Proficiencyin Microsoft Office applications and modern telephone etiquette

  • Strong verbal and written communication skills with a typing speed of at least 50 words per minute

  • Ability to handle sensitive and confidential information with discretion

  • Ability to interpret and apply information from manuals policies and procedures

  • Ability to draft original instructions reports and business correspondence

Additional Instructions For Applicants:

Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week eligibility for remote work is determined on a case-by-case basis at the hiring managers discretion. All candidates must reside within or be willing to relocate to a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
