SCOPE OF ROLE
Reporting to Manager Talent Acquisition & Onboarding the Specialist Onboarding & Transfers is responsible for coordinating all pre-employment and onboarding processes for new employees and internal transfers. The Specialist Onboarding & Transfers provides a high level of internal and external customer service to candidates hiring managers and other HR team members and acts as a subject matter expert for all activities related to onboarding and background verifications. The Onboarding & Transfers Specialist demonstrates accountability ownership and reliability for ensuring a successful new hire and internal transfer experience.
HOW YOULL SUCCEED:
- Initiate and manage individual onboarding workflows for each candidate utilizing the applicant tracking system and in-house developed electronic tools; includes management of third-party background check vendor and candidate responsiveness to requests.
- Facilitate the new hires Onboarding in-person appointment; process and monitor results for state background check requirements (BCI/FBI) collect necessary paperwork and communicate process next steps.
- Coordinate pre-orientation communications to new hires managers and stakeholders ensure completion of new hire onboarding documents notify IT to initiate provisioning process and partner with the Education & Training team for a smooth hand off for orientation on day with the Occupational Health Credentialing and Provider Enrollment teams to ensure new hire requirements are met partner closely with Occupational Health for Onboarding appointments.
- Enter and process all new hires into E-verify utilizing integration with Onboarding systems; follow-up on any non-compliance results in partnership with the HR Manager.
- Complete the offer recission pre-adverse action and withdraw processes for new hires when needed.
- Review and determine what onboarding and background verifications are needed for rehires
- Ensure all new hire and internal transfer documents are successfully uploaded into the employee I-9 verification process ensure accurate record retention practices are established and followed.
- Review internal transfers to ensure all necessary background verifications are completed prior to transfer date (MVR residential database checks etc.) and communicate status to HR and hiring managers
- Conduct fingerprint (BCI/FBI) in-person appointments for current employee license upgrades and internal transfers
- Partner with HR to enter updates in weekly Signature Connect newsletter related to employee recognition and new hire classes
- Utilize applicant tracking system to maintain candidate data and reporting.
- Assist with implementing process improvements to the onboarding process.
- Assist in developing and maintaining metrics and reports related to the Onboarding function.
- Utilize effective communication and follow-through when interacting with candidates hiring managers and process stakeholders for Onboarding related tasks.
- Maintain confidentiality and demonstrate discretion while executing all onboarding processes.
KNOWLEDGE & EXPERIENCE:
- Bachelors degree in Human Resources Business Administration Healthcare or related field is required.
- Minimum 2-year previous experience working in Talent Acquisition Human Resources or Other Administrative field required.
- Previous experience working in the healthcare field preferred.
- Experience working in Microsoft 365 Outlook and Excel required.
- Experience working within an applicant tracking system preferred.
- Excellent project management writing and oral communications skills.
WORKING CONDITIONS
- Work is normally performed in a typical interior/office/clinical work environment.
- While hours of operation are generally standard flexibility to work evenings and extended hours may be required.
- Requires periods of sitting standing telephone and computer work.
- Hearing: adequate to hear clients or patients in person over the telephone or through telehealth technology.
- Speaking: adequate to speak to clients or patients in person over the telephone or through telehealth technology.
- Vision: Visual acuity adequate to perform job duties including reading information from printed sources and computer screens.
- Physical effort required: occasional lifting and carrying items weighing up to 15 pounds unassisted.
- Possible exposure to blood borne pathogens while performing job duties.
- Frequent bending reaching and repetitive hand movements standing walking squatting and sitting with some lifting pushing and pulling exerted regularly throughout a regular workday.
- Sufficient dexterity to operate a PC and other office equipment.
