Job Summary
JOB SUMMARY:
HR Onboarding Specialist responsibilities include communicating company and position details to new hires before their start date gathering necessary paperwork and scheduling first days. Responsibilities also include communicating with department hiring managers and HR staff to make sure all processes are in line with ICLs policies along with background checks for all incoming candidates and related duties.
ESSENTIAL JOB FUNCTIONS:
Onboarding Tasks:
- Act as the main point of contact for the candidates and hiring managers on all onboarding related matters;
- Orchestrate the full new hire onboarding process including oversight of functions involved in the onboarding process;
- Communicate with hiring managers to set new hire start dates and keep new hires informed regarding their start date;
- Reviews new hire files to ensure completeness of files. A new hires file should be complete within 3 months from the date they start working;
- Ensure that new hires benefits package and are informed of deadlines of enrollments;
- Maintain and update applicant onboarding status HRIS platform;
- Verify all Professional Licenses on-line request updated Licenses from new hires;
- Build strong working rapport with department heads and hiring managers;
- Send welcome letters to newly hired employees;
- Send newly hired employees surveys using UKG Employee Voice;
- Ensure all new hires receive their ID Cards sign their offer letters and job descriptions and complete the I-9 process in person before their NEO start date;
- Enter I-9 information into eVerify;
Background Checking Tasks:
- Responsible for providing support to the Recruitment Manager in conducting background checks as part of the on-boarding process;
- Input information into the HRIS system to start the background checks consisting of uploading background check form Justice Center form Justice Center SCR Code of Conduct all documents for I-9 forms etc.;
- Schedule candidates for fingerprinting or drug testing;
- Collect and enter candidates information into the State Child registry;
- Enter candidate employment and education;
- Collect results of PPD ;
- Obtain Vaccine Cards or Medical/Religious exemption letters for review;
- Provide updates to and regular interface with recruiting team to monitor status
- Handle general human resources queries related to recruitment and onboarding;
- Participates in special projects and performs other duties as assigned.
ESSENTIAL KNOWLEDGE SKILLS AND ABILITIES:
- Excellent communications skill including being able to handle confidential information both oral and written; uses independent judgment and discretion;
- Excellent organizational communication and time management skills;
- Strong work ethic attention to detail and ability to complete tasks in a timely manner;
- Strong interpersonal skills;
- Ability to work independently as well as part of a team;
- Ability to work with all levels of staff;
- Must be able to learn company policies and procedures;
- Proficiency in all Microsoft Office Suite products
QUALIFICATIONS AND EXPERIENCE:
Minimum:
- A bachelors or associate degree in human resources management or a related field
- Experience as an onboarding specialist or in a similar HR role.
- Experience with HRIS software
Preferred:
- BA/BS related HR experience preferred
- Proficient with ATS system and UKG Pro preferred
