PRIMARY DUTIES & RESPONSIBILITIES

Hiring Range: $30.89-$38.61/Hourly.

OVERVIEW OF JOB:
The Support Specialist Executive within the Operations Division provides high-level confidential and proactive administrative support to the assigned districts commander and command personnel. This position plays a critical role in supporting the strategic and operational functions of the district by managing communication coordinating administrative processes and ensuring efficient office operations. This role provides direct administrative support to the command staff and personnel of the respective districts patrol PAR DART and District Criminal Investigations (DCI).


PRIMARY DUTIES & RESPONSIBILITIES:

  • Serves as the primary point of contact and liaison for Command Staff managing the Commands schedule and coordinating internal and external engagements.

  • Prepares edits and proofreads memos reports presentations and other documents.

  • Coordinates and tracks district-level initiatives meetings and deadlines.

  • Supports project management and implementation of district initiatives.

  • Maintains and organizes confidential files records and correspondence.

  • Facilitates internal communications and maintains effective working relationships with department personnel community partners other COA departments and additional stakeholders.

  • Coordinates logistics and documentation for meetings district events and district-related programs.

  • Completes and maintains personnel orders and tracking documentation.

  • Researches follows up and documents internal investigations within the district.

  • Manages purchase card transactions and district purchases and tracks district budget expenditures.

  • Maintains operating equipment.

  • Manages the care and functionality of the facility including all rooms and interior/exterior spaces.

  • Maintains district files.

  • Takes prepares and distributes minutes of meetings.

  • Answers phones e-mails and in-person inquiries on behalf of personnel.

  • Coordinates facility repair tracking and orders to include building and parking lot(s).

  • Works with assigned personnel to maintain the district inventory and submittal to PSS.

  • Maintains armory access report and submittal to city auditors.

  • Oversees holding cell maintenance and submits quarterly reports to the Department of Justice (DOJ).

  • Coordinates with contractors and vendors within the district to include billing.

  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

An equivalent combination of education training and experience thatdemonstratesrequired knowledge skills and abilities may be considered.

Education:

  • HS Diploma/GED

Experience:

  • 3 years of relatedadministrative support experience.

Licenses and Certifications:

  • CCIC/NCIC clearance

  • Notary certificate (or ability to obtain within 6 months)

Knowledge:

  • Office practices and procedures.

  • Manual and electronic filing systems.

  • Advanced business English spelling and math.

  • Systems and platforms including: Versadex AIM Hindsight (H4) SharePoint Teams and Workday

Skills:

  • Strong typing and data entry skills.

  • Strong interpersonal and verbal/written communication skills.

  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint).

Abilities:

  • Ability to handle sensitive situations with tact and diplomacy

  • Ability toestablishandmaintainworking relationships withemployees citizensandall levels of management

  • Ability to understand interpret and apply department or division policy and procedures.

  • Ability to plan organize and prioritize work assignments.

Preferred Qualifications:

  • Experience supporting leadership specifically in law enforcement government or public safety.

  • Familiarity with department-specific systems policies and procedures.

  • Familiarity with budgeting procurement and personnel processes.

Essential Personnel:

  • When a local announcement of emergency or disaster is declared by theCity all City of Aurora employees maybe requiredto work as essential personnel.

Physical Demands:

  • Moderate physical workthat involves moving no more than 40 pounds with or withoutassistance

  • Occasional lifting carrying walking and standing

  • Ability to review and interpret reports and other written documents with or without reasonable accommodation

  • Ability to communicate with employees contractors and residents in field environments with or without reasonable accommodation

Work Environment:

  • Primarily office-based in a clean shared work environment.

Equipment Used:

  • Uses standard office equipment including personal computerand common office software such as email internet WordExceland menu driven databases as a part ofcomputer-basedsystems.

Thisjobmay require the incumbent to use personal equipment ( cell phone tools etc.) in the course of their employment.

The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16 April 10 July 2 and December 24.
