The role

The National Research Council of Canada (NRC) is seeking a highly organized and proactive Administrative Coordinator to join the National Program Office. The Administrative Coordinator would be someone who shares our core values of integrity excellence respect and creativity.

The Administrative Coordinator provides comprehensive administrative and operational support to ensure the smooth and efficient functioning of the National Program Office (NPO) team.

Key Responsibilities:

  • Provide general administrative support to the National Program Office including time recording travel coordination procurement activities and acquisition card administration.
  • Organize and support meetings and committees including those involving senior management by preparing agendas coordinating presentations taking minutes and following up on action items.
  • Support program and branch governance through effective coordination and documentation of committee activities.
  • Manage and maintain documents and records using DocZone and other document management systems.
  • Research and coordinate responses to external requests and information inquiries on behalf of the Branch management team ensuring accuracy and timeliness.
  • Contribute to the development and implementation of consistent operational and administrative practices within the Branch.
  • Identify and recommend opportunities for continuous improvement of administrative processes tools and systems.

Screening criteria

Applicants must demonstrate within the content of their application that they meet the following screening criteria in order to be given further consideration as candidates:

Education

Secondary school education according to provincial standards.

Preference may be given to candidates with a post- secondary degree or diploma in a field related to the position (i.e. business administration accounting commerce etc.).

Experience

  • Significant* and recent** experience in providing a wide range of administrative services to a large group of clients including senior managers (Directors and above).
  • Significant* experience in administrative policy interpretation developing and implementing administrative policies processes and procedures within a federal government common services context.
  • Significant* experience in coordinating logistical support of internal activities such as events and meetings.
  • Significant* experience with Microsoft Office software including Word Outlook and Excel and SharePoint/DocZone.
  • Experience with document management and reporting processes i.e. tracking consolidating content data entry data manipulation database maintenance and drafting for reporting purposes.


* Significant experience refers to at least two (2) years of experience.


**Recent experience is defined as within the last three (3) years.

  • Solid knowledge of general administrative operational and financial policies processes procedures and reporting within a large organization preferably within a Canadian federal government context.
  • Solid knowledge and ability to review/evaluate administrative practices and processes and to propose and implement recommendations to ensure continuous improvement and administrative efficiency.
  • Strong ability to multi-task manage and prioritize time and competing priorities while working under severe time constraints.
  • Ability to interact and communicate effectively with clients staff and senior managers within the organization to address operational issues (including presentation skills verbal communication skills and ability to write in a clear and concise manner).
  • Ability to analyze prepare and present qualitative and quantitative information for reporting at a senior level.
  • Ability to manage complex and/or sensitive issues including identifying addressing mediating and resolving issues.
