The role

We are looking for two (2) Administrative Assistants to support our Aerospace Research Centre (AERO). The Administrative Assistants would be someone who shares our core values of Integrity Excellence Respect and Creativity.

The Administrative Assistants provide general administrative support within an NRC Research Centre or a corporate branch or program. Some of the duties of the position include: coordinating meetings (including events and seminars); making travel arrangements; preparing correspondence reports and presentations; establishing and maintaining filing systems supporting procurement related tasks and responding to routine enquiries.

Screening criteria

Applicants must demonstrate within the content of their application that they meet the following screening criteria in order to be given further consideration as candidates:

Education

Successful completion of secondary school according to provincial standards.

Post-secondary education in administration may be considered an asset.

Experience

  1. Significant experience providing administrative support services such as making travel arrangements and processing claims creating and maintaining files and data entry.
  2. Significant* experience with MS Office suite products such as Word Excel PowerPoint and Outlook.
  3. Experience providing administrative support in procurement or purchasing ideally in a public-sector or federal government environment.
  4. Experience using SAP software or another similar ERP system would be an asset.
  5. Experience in providing administrative support services at a senior management level would be an asset.

*Significant means a minimum of 2 years experience.

For a Reliability Status verification of background information over a period of 5 years is required.

Candidates will be assessed on the basis of the following criteria:

Technical competencies

  1. Demonstrates ability to support procurement and purchasing activities by following established procedures maintaining accurate records and ensuring compliance with organizational or federal requirements;
  2. Ability to perform data entry tasks with accuracy;
  3. Ability to manage a number of files in parallel set priorities and meet deadlines.
  4. Ability to draft proofread and edit documents and correspondence.
  5. Ability to gather and provide information explain processes and respond to routine inquiries regarding administrative procedures.
  6. Proficiency in Microsoft Office Suite (Outlook Word Excel and PowerPoint).
  7. Knowledge of administrative procedures and practices including calendar management arranging meetings making travel arrangements processing travel claims would be an asset;
