JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides direct high-level support to the Assistant Dean for Admissions while exercising substantial independence and discretion in managing day-to-day and long-term admissions operations. This position is a key role within the Office of Admissions responsible for overseeing complex financial admissions communications and event processes that are critical to the recruitment selection and matriculation of medical students. This position acts as the primary operational liaison between the Assistant Dean the Office of Admissions current and prospective students faculty campus partners and external stakeholders.
Responsibilities
- Assists in the review and monitoring of the Office of Admissions expenditures; prepares financial documentation and reports to support planning and decision-making by the Assistant Dean.
- Identifies and resolves discrepancies in coordination with the central finance office.
- Provides end-to-end operational support for admissions application processing and applicant communications in support of the Office of Admission.
- Coordinates with human resources to recruit onboard and manage temporary staff and federal work-study students including supervision scheduling and preparation of timesheets for Assistant Dean approval.
- Creates maintains and audits applicant files and records; supports the Assistant Dean in granting deadline extensions and determining admissions eligibility.
- Serves as the primary procurement employee for the admissions office managing the procurement card purchasing receiving inventory and vendor relationships.
- Manages recruitment travel logistics and materials for admissions outreach activities; oversees the planning and execution of major admissions events.
- Leads the design content coordination and ongoing maintenance of the College of Medicine Admissions website.
- Coordinates admissions social media activities
- Performs other duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION:High School Diploma or GED. (Bachelors preferred). (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of office experience preferably in higher education; ORAssociates Degree and two (2) years of office experience preferably in higher education.
KNOWLEDGE SKILLS AND ABILITIES:
- Ability to work effectively with prospective and current students faculty and the public.
- Excellent communication skills.
- Knowledge of Microsoft Office programs.
- Strong organizational and customer service skills.
- Ability to maintain confidentiality.
- Demonstrated understanding of the need for a commitment and dedication to professional ethics.
- Attention to detail.
WORK SCHEDULE: This position may occasionally be required to work weekends and evenings.
