The Administrative Assistant - Facilities will provide clerical support to administrators and other staff members to ensure a smooth operation of the maintenance and custodial departments.

Position:12-month position (non-exempt)

Salary:$18.00 - $22.00

MINIMUM QUALIFICATIONS:

• High School graduate or equivalent
• Two (2) years clerical expeience
• Bachelors degree or college credits preferred
• Ability to relate to students staff and parents in a positive manner
• Ability to communicate clearly in verbal and written form
• Ability to follow written and oral communication
• Ability to problem solve
• Ability to safeguard confidential information
• Strong computer skills including word processing working with spreadsheets and databases (Microsoft Office and Google Suite)

An individual who holds this position is required to:

• Perform general office duties including answering phones greeting public typing filing and sorting.
• Composes documents (e.g. correspondence bulletins reports) for Building Administratoror other staff for the purpose of requesting or providing information confirming events etc.
• Maintain operations for district key entry system.
• Maintain and publish accurate and up-to-date events calendars utilizing web software to post and update.
• Provide administrative support to custodial department with ordering vendors and logistics.
• Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
• Assists in maintaining the daily/weekly/monthly calendar for the purpose of coordinating the scheduling of work-related appointments activities meetings etc.
• Assists in overseeing workload of the Department Head for the purpose of maximizing efficiency and meeting operational requirements.
• Assists in maintaining documents files and records for the purpose of providing up-to-date reference and audit trail for compliance.
• Answers telephone calls and provide district/facillities information to assist callers.
• Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school.
• Be knowledgeable about and supportive of administrative procedures and directives.
• Deal tactfully with staff students parents and the public.
• Manage special project as assigned by Director.
• Make professional development arrangements for Maintenance staff and director.
• Perform other functions as assigned by the Director/Superintendent of Schools.
