The Benefits Coordinator is responsible for providing administrative and customer service support across all Benefit programs including health and welfare retirement time and absence and well-being under the guidance and support of Senior Benefits Managers and the Director of Total Rewards.
Essential Job Functions:
Support the daily administration of all Total Rewards programs including health and welfare retirement time and absence and well-being initiatives.
Review staff timecards for accuracy and completeness in preparation for bi-weekly and semi-monthly payroll processing.
Monitor benefit enrollments and changes (e.g. new hires life events terminations) to ensure completion within designated deadlines.
Process benefit elections and changes in vendor and HR system ensuring timely updates and accurate coverage and contribution details.
Utilize the firms self-service and HR system to generate notices updates and reports for relevant administrative departments.
Prepare and maintain files and records ensuring accuracy compliance and confidentiality.
Respond to and help resolve Total Rewards and benefits inquiries including health and welfare retirement time and absence and well-being questions from lawyers and staff escalating complex issues as appropriate.
Support team leadership in administering leave of absence and time away programs including tracking documentation and communication.
Assist in coordinating well-being programs and initiatives including communications registrations and participation tracking.
Assist with the preparation and distribution of quarterly and other periodic Total Rewards and benefits communications and mailings including open enrollment materials and program announcements.
Collaborate with internal and external clients including HR and benefits and Total Rewards team members vendors and other firm departments to complete assignments and resolve issues.
Contribute to fostering an environment of superior customer service to all firm personnel.
Maintain the highest level of discretion and professionalism when handling sensitive employee information.
Maintain a high level of accuracy and attention to detail when entering and reconciling benefits and Total Rewards data across HR platforms and vendor systems.
Occasional overtime may be required.
Maintain strict confidentiality of all firm and employee information.
Knowledge Skills and Abilities:
Willingness to learn and develop skills in all areas of Total Rewards (health and welfare retirement time and absence and well-being).
Strong customer service and communication skills with the ability to work professionally with lawyers staff vendors and as appropriate clients.
Ability to multi-task prioritize workflow and complete tasks under time constraints in a fast-paced environment.
Computer proficiency in Microsoft Office products (e.g. Outlook Word Excel PowerPoint) and experience working in HR and/or benefits and Total Rewards administration systems.
Demonstrate the ability to work effectively within a team environment and build collaborative working relationships.
Foundational knowledge of pertinent federal and state regulations affecting employee benefit programs (e.g. ERISA COBRA HIPAA FMLA ACA ADA) with a willingness to learn and stay current in these areas.
Exceptional written and verbal communication skills with the ability to effectively communicate and present information.
Ability to respond to questions from attorneys staff clients vendors and the public in a professional manner.
Ability to interpret and apply a variety of instructions furnished in written verbal diagram or schedule form.
Demonstrate initiative in learning firm policies Total Rewards programs and relevant compliance requirements.
Ability to work independently and collaboratively as part of team to support consistent efficient workflows.
Ability to self-manage and work effectively in a remote hybrid and in-office environment.
Proficient in Microsoft Office.
Education and/or Experience:
Bachelors degree from an accredited college or university required preferably in Human Resources Business or a related field.
Prior experience in HR benefits or Total Rewards required
Minimum three (3) years of related experience in leave administration work time calculations and HR systems strongly preferred.
