REPORTS TO: Legal Support Manager
LOCATION: Los Angeles CA eligible for hybrid schedule with a minimum of 1 day/week in office.
EMPLOYMENT STATUS: Regular Non-Exempt; Full-Time (37.5 hours)
SALARY (Depending on Experience): $25.64 to $31.73

Advocacy and Community Engagement (ACE)
Focused on serving all Californians with disabilities the Advocacy and Community Engagement (ACE) Practice Group consists of committed advocates and attorneys who work together to empower people to self-advocate and help them resolve their legal issues. We provide training and self-advocacy workshops advice and assistance on the intake hotline coordinate and implement community-based legal clinics provide short-term advocacy on limited legal issues and organize community members for future systemic litigation by Disability Rights California. Our staff are as diverse as the communities we seek to serve and are committed to reaching and empowering underrepresented and underserved communities.
PURPOSE OF THE JOB
Administrative Assistant serves as the primary support to an advocate to enhance the effectiveness of the staff by providing administrative technical and reasonable accommodations this position the administrative assistant will work closely with the advocate to assist with revoicing (listening to the advocate and repeating what they say) and computer navigation. This is an RA support position requiring in-office work in DRCs downtown Los Angeles office at least one day per week with additional in-person work as needed for outreach events and RA-related duties.
JOB RESPONSIBILITIES
Essential functions are the job responsibilities an employee must be able to perform with or without reasonable accommodation. Administrative Assistant essential functions include:
Administrative / Technical Support
- Manage various administrative processes.
- Case file maintenance both paper and e-files.
- Create and complete documents correspondence and forms.
- Convert documents for screen reader accessibility.
- Calendar copy fax data entry and process mail including Docu-Sign.
- Communicate with clients professionals and others and direct telephone calls.
Advocate Support
- Revoice during calls events and other work functions as needed.
- Take notes during calls and meetings where the advocate is present.
- Assist with computer navigation.
- Coordinate meetings and conference calls.
- Schedule/calendar client meetings conference calls and maintain calendar and due dates for advocate as required.
- Coordinate logistics and provide off-site assistance at outreach events.
- Provide reasonable accommodation assistance to staff with disabilities.
- Prepare and Assemble materials for outreach and training presentations including accessibility formatting and proofing.
Other Duties
- Participate in outreach activities to minority and underserved communities.
- Stay up to date with current accessibility standards.
- Communicate with other Practice Groups Departments and Units.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS
Education and Experience
- High school diploma or general education degree (GED)
- Three (3) or more years of office experience
- Proficient use of Microsoft Office 365 such as Microsoft Word Outlook Teams SharePoint Excel etc.
SKILLS AND COMPETENCIES
- Ability to understand and revoice for people with speech disabilities
- Ability to efficiently and timely convert PDF and other print documents into accessible format for use by screen reader software.
- Knowledge of assistive technology software (screen readers)
- Knowledge and familiarity in both existing and emerging software applications.
- Excellent interpersonal skills communication skills and the ability to collaborate well in a team.
- Strong ability to maintain high standards use good judgment and seek out ways to contribute and anticipate needs.
- Strong attention to detail organizational skills and ability to manage time effectively.
- Ability to work under pressure to meet deadlines.
DESIRABLE QUALIFICATIONS
- Bilingual: Able to communicate fluently read and write.
- Experience working in a virtual environment.
- Experience working with nonprofit and/or social service agencies.
- Contacts with and/or lived experience within disability organizations and/or within disability communities.
- Contacts with and/or lived experience within multi-ethnic organizations and/or within multi-ethnic communities.
- Contacts with and/or lived experience within low-income communities.
- Experience working with and/or sensitivity to persons with disabilities and/or experience working with and/or sensitivity to persons from multi-ethnic communities.
- Life experience as a person with a disability OR direct experience as a caregiver of a family member with a disability.
TRAVEL REQUIREMENTS
Ability to travel infrequently for activities such as practice group and support staff meetings training or outreach activities up to 25% of the time.
