Job Summary

Brandeis University seeks a detail-oriented and analytically strong Budget and Operations Administrator to serve as a key operational partner within the Academic Services Office. This role sits at the center of financial stewardship operational excellence and executive supportensuring that academic support programs are well-resourced compliant and strategically aligned.

Reporting to the Dean of Academic Support and Advising the Administrator oversees budgeting financial reporting operational systems and administrative coordination across multiple academic units and programs.

What You Will Lead and Manage

Strategic Budget Management (40%)

  • Build and manage budgets across Academic Services and affiliated units

  • Oversee endowed and gift fund spending in compliance with donor and regulatory restrictions

  • Monitor expenditures process financial transactions (COUPA student wages payroll adjustments) and ensure accounts remain within targets

  • Complete monthly and fiscal year-end reconciliations and reporting

  • Partner with the Dean and Directors to align spending with strategic priorities

Financial Reporting & Analysis (20%)

  • Deliver monthly budget reports with variance analysis and funding source tracking

  • Analyze trends in utilization and spending across programs

  • Maintain complex Excel models to support forecasting and planning

  • Contribute to annual financial reporting and program summaries

Operations & Project Management (10%)

  • Establish and refine administrative protocols and record-keeping systems

  • Improve operational workflows for purchasing scheduling and communications

  • Support cross-functional initiatives and special projects

Executive & Program Support (5%)

  • Provide high-level administrative support to the Dean

  • Coordinate search processes campus visits presentations and certifications

  • Support Peer Academic Support the Myra Kraft Achievers Program and the GenOne Network

Office & Front Desk Operations (10%)

  • Co-manage front desk systems and supervise student assistants

  • Maintain office operations technology and onboarding coordination

  • Ensure smooth daily operations across Academic Services

Event Management (10%)

  • Lead planning and implementation of key academic events including Orientation activities the Academic Fair and the New Student Forum

  • Coordinate meetings retreats and program events

Other duties as assigned (5%)

What You Bring

  • Bachelors degree required

  • 24 years of relevant experience in budgeting operations or academic administration

  • Strong financial acumen and advanced Excel skills

  • Ability to manage multiple funding streams and navigate compliance requirements

  • Exceptional organizational skills and attention to detail

  • Professional judgment discretion and strong communication skills

Compensation

Hiring range: $65000 $67250
