Administrative Assistant (Customer Service & Office Support)
Job Type: Full-Time
Schedule: MondayFriday
- Answer incoming calls and confidently guide customers through next steps
- Gather accurate information quickly and route calls appropriately
- Maintain a calm professional toneeven with stressed or frustrated callers
- Assist with invoicing and maintain organized billing records
- Ensure information is accurate and up to date
- Support the team in keeping financial documentation clean and complete
- Help manage calendars and coordinate appointments
- Keep schedules organized and proactively resolve conflicts
- Ensure nothing falls through the cracks
- Collect and verify required documentation (W-9s insurance agreements)
- Maintain organized and complete vendor files
- Follow up when documentation is missing or incomplete
- Support day-to-day office needs
- Communicate clearly with team members and customers
- Help maintain a high standard of organization and responsiveness
- $18$22/hour (based on experience)

- 2 years of administrative or customer service experience (required)
- Strong phone presence and clear communication skills
- High attention to detailyou catch mistakes others miss
- Ability to manage multiple priorities without getting overwhelmed
- Strong sense of ownership and follow-through
- Proficiency in Microsoft Office (Outlook Excel Word)
- Need constant reminders or supervision to complete tasks
- Struggle with organization or time management
