Job Overview:

The Accounts Payable Specialist is responsible for managing the companys accounts payable operations ensuring timely and accurate processing of invoices employee travel and expense (T&E) reports and corporate card transactions. This role plays a key part in maintaining strong vendor relationships supporting employees with expense-related questions and needs and ensuring compliance with company policies and internal controls. The Accounts Payable Specialist will partner closely with cross-functional teams to support efficient financial operations contribute to month-end close activities and identify opportunities to improve processes across accounts payable and expense management. This role is based in Austin Texas with a hybrid work schedule.

Key Responsibilities

• Review code and process vendor invoices in a timely and accurate manner
• Ensure proper approvals are obtained in accordance with company policies
• Prepare weekly payment runs (ACH wire check)
• Reconcile vendor statements and resolve discrepancies or billing issues
• Respond to vendor inquiries and maintain positive working relationships
• Monitor AP aging and ensure payments are made within agreed terms
• Assist with month-end close activities including accruals and reconciliations
• Review and process employee travel & expense (T&E) reports
• Administer and reconcile corporate credit card transactions; follow up on missing documentation or policy exceptions
• Maintain organized and accurate records of AP T&E and credit card transactions
• Execute maintain and support internal controls to ensure compliance with audit and financial reporting requirements
• Support audits by providing requested documentation
• Identify opportunities to improve AP T&E and expense-related processes and increase efficiency
• Other projects as assigned

Qualifications:

• 2 years of accounts payable or general accounting experience
• Strong attention to detail and accuracy
• Ability to manage multiple priorities and meet deadlines
• Proficiency in accounting systems (e.g. NetSuite QuickBooks SAP) and Microsoft Excel
• Strong communication and problem-solving skills
• Basic understanding of accounting principles

Additional Qualifications that are nice to have:

• Experience in a high-growth or fast-paced environment
• Familiarity with expense management and corporate card tools (e.g. Bill Concur Divvy Expensify Navan)
• Associates or Bachelors degree in Accounting Finance or related field
