As an Accounts Payable Specialist you will play a critical role in ensuring the accuracy integrity and timeliness of invoice processing across the organization. This position partners closely with external vendors school and clinic leadership operations finance and accounting teams to support seamless financial operations. You will report directly to the Accounts Payable Manager and contribute to maintaining strong internal controls and vendor relationships.

â Responsibilities Include:

  • Reviewing and verifying invoices for accuracy appropriate coding and proper approvals.
  • Coding and processing invoices with correct cost centers GL accounts and supporting documentation within accounting systems.
  • Gathering and organizing necessary data and documentation to ensure complete and audit-ready invoice records.
  • Entering and uploading invoices and attachments into accounting platforms (Stampli and Intacct) with a high degree of accuracy.
  • Monitoring and reconciling vendor statements and accounts to ensure timely and accurate payments.
  • Researching and resolving invoice discrepancies including managing credit memos and addressing past-due balances.
  • Applying and interpreting company guidelines to determine appropriate classification of expenses prepaids and fixed assets.
  • Communicating and collaborating with vendors and internal stakeholders to address inquiries and resolve issues efficiently.
  • Requesting and managing W-9 documentation while coordinating vendor setup and maintenance with the AP Manager.
  • Matching and distributing payment documentation including preparing checks for timely mailing.
  • Maintaining and adhering to internal controls policies and compliance standards.
  • Supporting and executing ad hoc projects and additional responsibilities as assigned.

â Qualifications Required:

  • High school diploma or equivalent with passage of basic skills test.
  • Bachelors degree or higher in a closely related field of study highly preferred.
  • Minimum of 5 years prior experience working in an accounts payable or related function.
  • Prior experience working with multi-location accounting highly preferred.
  • Highly knowledgeable in general accounting procedures.
  • Ability to analyze interpret and apply concepts of basic math.
  • Prior experience and/or highly proficient in reading writing analyzing and interpreting detailed reports and business correspondence.
  • Proven ability to effectively prioritize tasks and meet deadlines while maintaining organization and attention to detail.
  • History of success building credibility effectively managing multiple projects and collaborating across all organizational levels.
  • Advanced oral and written communication organization conflict resolution multitasking problem solving and decision-making ability.
  • Proficiency in Stampli and Sage Intacct Accounting Software preferred.
  • Well-versed in the use of relevant technology including experience with computers Microsoft Office Suite database entry and basic office equipment.
  • Ability to work on-site at corporate office located in Brentwood TN as needed in order to meet business needs.
