Inviting applications for the role of Process Associate/Process Developer Low Medium Complexity Transactional Execution
Role Purpose
This role will support end-to-end recruitment administrative processes for new hires. The role includes managing recruitment coordination activities (e.g. job postings candidate tracking interview scheduling). The role requires accuracy responsiveness and seamless communication with Local HR and Recruitment Teams.
Responsibilities
& Coordination

Create job requisition draft.
Post and manage job requisition.
Schedule and coordinate interviews/hiring events ensuring a seamless candidate experience across global time zones.
Manage and administer assessments.
Support job posting candidate communication and requisition management.
Ensure service level agreement for recruitment coordination activities are consistently met.
Conduct pre-onboarding activities and coordinate with the new hire

& Data Management

Update and maintain the applicant tracking system with accurate candidate data.
Update the Human Resource Management Systems / Applicant Tracking Systems (e.g. Workday Taleo Avature etc.) and support new hire record creation.
Maintain confidentiality and compliance with data privacy policies.
Regularly audit candidate database and address any discrepancies.

Screening and Scheduling Support
Assist with preselection screening request missing documents and send automated rejection letters.
Support interview scheduling and rescheduling coordination.

Documentation and Support
Collect candidate documents assist recruiters with offer letters and upload documents on behalf of candidates when needed.
Folder and Print Support

Update the Recruiting folder and the ServiceNow article. Help make QR codes and share recruiting materials.
Support print ad creation for branches and proof handling.

Communication and Mailbox Handling

Manage first level candidate inquiries via the group mailbox and provide status updates.
Support leaders with basic questions about the selection process.

and Escalation Tasks
Maintain candidate records in HR system; escalate complex issues to Senior Recruiter or Manager.
Systems Ownership
Primary systems: ServiceNow; Workday; BMD/HR Suite SAP Employee Central; Excel; M365; E Mail; MS Teams; Adobe Analytics; SAP ARIBA; AMT; ASES.


Qualifications we seek in you!
Minimum Qualifications
Bachelors degree in HR Business or a related field.
Experience in recruitment or talent acquisition.
Basic understanding of recruitment and onboarding lifecycle stages in a corporate or shared services environment.
Proficiency in MS Excel (e.g. VLOOKUP filters tracker management) and MS Outlook for daily operations.
Good verbal and written communication skills.
Willingness to work 5 days from office in client specific shift.
Preferred Qualifications/ Skills
Knowledge of recruitment best practices and sourcing strategies.
Certification in recruitment or talent acquisition.
Hands-on knowledge of Applicant Tracking Systems and onboarding platforms (e.g. BMD/HR Suite Workday iCIMS or similar) is a plus.
Preference for candidates with European experience.
Strong organizational and multitasking skills.
Familiarity with enterprise service management tools (e.g. ServiceNow) is essential for this role.
Effective communication and interpersonal abilities.
Attention to detail and ability to manage high-volume hiring.
