Job Summary

Position: Executive Assistant

Type: Part-Time (20 hours per week)

Time Zone: Fixed Schedule (Central Time)

Compensation: $7 USD per hour


Key Responsibilities


1. Executive & Founder Support

Manage inbox triage and ensure priority communications are addressed promptly

Draft and send responses for routine leadership emails

Handle calendar management scheduling and meeting coordination

Prepare meeting agendas notes and follow-up action items

Maintain daily and weekly priority lists for the founder

Protect leadership time by minimizing administrative bottlenecks

Support travel planning itinerary creation and meeting logistics


2. Trade Show & Event Logistics

Coordinate trade show planning and behind-the-scenes logistics

Manage timelines shipping requirements booth materials and checklists

Oversee sample inventory signage and printed assets

Assist with pre-show scheduling attendee coordination and post-show follow-ups

Ensure all event deliverables are completed on time


3. Customer Retailer & Partner Communication

Respond to inbound customer and retailer inquiries

Manage customer support requests FAQs and product inquiries

Assist with wholesale inquiries and retailer sample requests

Coordinate follow-ups with distributors and retail partners

Maintain communication workflows to ensure no requests are missed


4. Administrative & Business Support

Organize internal documents folders and digital filing systems

Assist with spreadsheets reporting and recurring admin tasks

Support order coordination data entry and internal updates

Track project deadlines and deliverables

Develop SOPs and process documentation for recurring tasks

Assist with special projects across sales operations and product launches


5. Sales & Light Operations Support

Support sales administration and opportunity tracking

Coordinate sample requests and outbound follow-ups

Route customer opportunities to appropriate team members

Maintain CRM and sales tracker accuracy

Assist with EDI-related workflows (training provided)

Monitor recurring sales operations tasks and ensure completion


6. Social & Marketing Coordination Support

Respond to customer-facing social media messages

Support community engagement and inbound marketing requests

Assist with content coordination scheduling and posting

Capture and route customer feedback

Support promotional campaigns and product launch activities


Requirements


Proven experience as an Executive Assistant Founders Associate Operations Coordinator or Senior Virtual Assistant

Strong organizational and project management skills

Excellent written and verbal English communication

Ability to support multiple departments simultaneously

High level of ownership and accountability

Strong follow-through and attention to detail

Ability to balance recurring tasks with ad hoc responsibilities

Comfortable learning new tools and systems quickly

Experience in CPG manufacturing wholesale or ecommerce is a plus
