Responsibilities:
- Ensure that all compliance rules regulations and guidelines involving Head Start Performance Standards are followed;
- Assists with application and enrollment activities;
- Assists with monitoring Best Beginnings subsidies including deadline dates loss of subsidies co-payments billing;
- Assist families with completion of Best Beginnings application;
- Maintain filing systems and eligibility files for all enrolled previously enrolled and wait listed applicants ensure files are accurate and accessible;
- Responsible for Child Plus ERSEA data entry;
- Assist with the coordination of staff development opportunities coordinating training location staff notification travel arrangements and event calendar;
- Coordinates monthly Directors and staff meetings arranging locations video conferencing notifications;
- Coordinates supply orders for center and child care facilities;
- Types memos correspondences/letters reports and other documents upon request;
- Copies types files and replenishes any needed forms;
- Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs;
- While operating a multi-extension phone system receive incoming phone calls determines the nature of business obtains callers name messages and directs callers;
- Maintains confidentiality of records and information on Early Head Start staff children and families;
- Attends and participates in mandatory training in-services staff meetings and committees as assigned and noted in AWAREs Employee Handbook;
- Reports to work at scheduled times and maintains good attendance;
- Perform all duties in a timely and professional manner;
- Participate with a positive attitude and behavior in all program activities;
- Perform other duties as assigned.
Talents skills and abilities:
- High School Diploma or HSE is required along with past employment experience.
- Must have or be willing to obtain a valid Montana Drivers License and have an acceptable driving record.
- Must have an acceptable criminal and protective services background check.
