Job Description

A beverage manufacture and distributor in South Africa has a permanent employment opportunity for an experienced Stores Manager based in East London Eastern Cape.

The purpose of this role is to manage the day-to-day operations of the raw material and packaging in the Stores department ensuring the efficient receipt storage and dispatching of the raw material and packaging

This role is crucial in maintaining the integrity of the supply chain by ensuring that the raw material and packaging inventory is managed effectively in compliance with FSSC 22000 requirements

Duties and Responsibilities:

  • Bachelors degree/Diploma in supply chain management Logistics Business Management or a related field
  • Minimum of 3 or more years experience in warehousing and inventory management preferably in a FMCG environment
  • In-depth understanding of FMCG industry requirements for supply chain processes
  • Proficiency in Microsoft Office and ERP systems
  • Valid Drivers license
  • Strong knowledge of FSSC standards and requirements and the ability to ensure compliance in all areas of responsibility will be an advantage

Key Responsibilities but not limited to:

Stores Management

    • Manage the day-to-day operations of the raw material/packaging stores department in line with FSSC 22000 requirements
    • Ensure the raw material/packaging stores department are clean and organized according to company guidelines
    • Manage and coordinate the receipt storage and dispatch of raw material to ensure timely order fulfilment
    • Ensure efficient space utilization
    • Ensure timely delivery of raw material/packaging and resolve any supply chain issues

Inventory Management

  • Ensure and maintain accurate raw material/packaging inventory levels by conducting regular cycle counts and reconcile with the inventory management system
  • Minimize obsolete and expired raw material in line with FSSC 22000 requirements
  • Ensure that staff adhere to the FIFO and FEFO principles
  • Investigate and resolve any discrepancies or issues related to inventory deliveries or store operations
  • Ensure that correct quantities of raw material/packaging are timeously dispatched to the different departments for production processes

Document control and compliance

  • Implement and maintain an effective document control system that complies with FSSC 22000 requirements
  • Ensure all records related to raw material/packaging stores operations (e.g. receiving documentation inventory records dispatch documentation) are accurately maintained up-to-date and easily retrievable
  • Regularly review and update Standard Operating Procedures (SOPs) to ensure SOPs reflect current practices and comply with food safety standards
  • Coordinate with the Quality Assurance team to ensure that all documentation meets internal and external audit requirements
  • Take part in the preparation for internal and external audits
  • Train stores staff on the importance of accurate record-keeping and document control in relation to food safety

Staff Management

  • Manage employee relations within the stores department ensuring adherence to company policies and procedures
  • Serve as the primary point of contact for employee concerns grievances and disciplinary actions ensuring that they are handled in accordance with company policy and legal requirements
  • Plan organize and control the day-to-day activities of the stores teams
  • Conduct performance reviews set goals and provide feedback to stores staff on their performance
  • Manage staffing levels to meet operational requirements including hiring and training new employees
  • Conduct regular training sessions with staff on stores operating procedures
  • Foster a positive work environment that encourages teamwork accountability and continuous improvement

Health and Safety

  • Ensure that all stores operations comply with health and safety regulations
  • Take part in regular safety audits and risk assessments and implement corrective actions as necessary
  • Ensure that all stores staff are trained on health and Safety policies and procedures
  • Ensure the stores department operates in accordance with health and safety regulations in line with FSSC 22000 requirements
  • Ensure compliance with all relevant legal and company standards including environmental regulations
  • Lead initiatives to promote a safe working environment and reduce workplace accidents

Communication and Coordination

  • Coordinate with other departments to ensure smooth operations and resolve any issues that arise
  • Provide regular updates and reports to senior management on stores and factory warehouse operations
