We are seeking an Administrative Support Specialist to serve as the vital link between our clinical excellence and our families peace of mind. This role is designed to remove administrative frictionensuring families are heard schedules are optimized and insurance complexities are handled with precisionallowing our therapists to remain fully present with the children they serve.
Key Responsibilities
- Comprehensive Patient Intake: Manage the end-to-end intake process for new families ensuring a welcoming and organized introduction to our services.
- Strategic Scheduling: Coordinate appointments across multiple settings (home school clinic) to maximize therapist efficiency and patient consistency.
- Insurance & Revenue Cycle: Process insurance claims monitor status and aggressively manage denials to ensure smooth financial health for the practice.
- EMR Data Integrity: Maintain and audit records within the Electronic Medical Record (EMR) system to ensure 100% accuracy and compliance.
- Bilingual Family Support: Act as the primary liaison for our Spanish-speaking community handling inquiries concerns and updates with professional empathy.
- Cross-Functional Collaboration: Partner closely with the Billing Specialist and Operations Manager to provide coverage and support for urgent administrative needs.
Qualifications & Skills
Hard Skills:
- Bilingual Fluency: Professional-level proficiency in both English and Spanish (Required).
- Medical Admin Expertise: Proven experience in a medical office clinic or specialized administrative field (e.g. law) that demands high-stakes documentation.
- Technical Proficiency: Skilled in G-Suite AI tools and EMR platforms.
- Billing Literacy: Solid understanding of insurance claims processing coding and denial management.
