Job Description:

Are you detail-oriented systems-savvy and passionate about ensuring accuracy in HR processes Join our College of Medicine Human Resources Office as an HR Specialist II. This role offers a unique opportunity to contribute to the HR operational backbone of our college serving as a key liaison between department partners and the University of Florida Human Resources (UFHR) transaction approvers.

As an HR Specialist II youll play an integral role as a member of our Transaction Center reviewing and approving a variety of employment position and recruitment transactions while ensuring compliance with university and college policies and procedures. Youll also manage essential faculty staff and trainee data conduct audits and generate reports to support strategic decision-making.

This position provides an excellent foundation for career growth offering insight and experience in a wide range of HR functions while allowing you to learn from and collaborate with experts in the field. You will join a collaborative team of HR professionals including business partners and specialists in benefits employee relations graduate programs immigration and department partners.

About This Role

Employment & Position Transactions

  • Serve as a college-level approver also known as a Level 1 approver for a wide range of employment and position transactions including but not limited to: hires special pay increases (SPIs) reclassifications FTE changes administrative supplements additional pays position description updates supervisor changes leaves of absence terminations and leave cash outs. These are primarily processed through the universitys HRIS System currently PeopleSoft.
  • Ensure all transactions and associated paperwork is completed and in alignment with university and college policies and processes. Identify and work closely with department partners COM-HR team members and UFHR colleagues to troubleshoot and resolve discrepancies in transactions.
  • Provide advice and guidance to departments on applicable university & college policies procedures and compliance requirements related to employment and position transactions.

Record Management & Reporting

  • Ensure completeness and accuracy of employment data including salaries benchmarks titles position numbers minimum requirement verifications negotiables and more.
  • Ensure compliance with university and college policies regarding I-9 verifications licensure postdoctoral appointments and other employment requirements.
  • Run and analyze reports within university and college reporting systems including PeopleSoft Enterprise Analytics PageUp and other HR systems to support data-driven decision-making.
  • Conduct audits of employment records and processes to support ongoing compliance and identify opportunities for process improvement.

Recruitment Transactions

  • Serve as a college-level approver for recruitment-related transactions including job reposting candidate screenings and offer letters ensuring alignment with university and college policies and best practices.
  • Ensure accuracy of job postings offer letters & associated documentation including alignment with college hiring request and university clearance as applicable.
  • Confirm job postings through the universitys talent acquisition software PageUp are updated and dispensed appropriately.
  • Serve as a resource to departments for troubleshooting issues related to recruitment and hiring processes. Collaborate with business partners for hard-to-fill/specialized positions.
  • Provide guidance and feedback to departments regarding compliance elements and opportunities to enhance postings.

Collaboration and Special Projects

  • Participate in the development and refinement of standard operating procedures (SOPs) for the College of Medicine HR Hub to streamline processes and improve service delivery.
  • Foster a culture of teamwork and collaboration within the Transaction Center and the broader COM-HR team to meet deadlines and provide excellent service.
  • Assist with special projects and initiatives as needed demonstrating flexibility and adaptability in supporting the dynamic needs of the college.

Expected Salary:

$60000 to $64000; commensurate with education and experience related to the role.

Required Qualifications:

Bachelors degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:
  • Highly organized adaptable and comfortable working in a high-volume transactional environment.
  • Proven ability to manage multiple priorities meet deadlines and maintain high accuracy and attention to detail.
  • Keen eye for accuracy and compliance.
  • Collaborative mindset to work closely with HR team members department partners and other key stakeholders.
  • Thrive in roles that involve troubleshooting resolving discrepancies and enhancing processes.
  • Strong communicator interacting effectively with both internal and external stakeholders ensuring smooth transaction workflows and resolving any challenges that may arise.
  • Familiar with PeopleSoft or similar HRIS systems with the ability to quickly learn new software platforms.
  • Knowledgeable of university HR transaction processes & policies or the ability to quickly become proficient in these areas.
  • Experience using Microsoft Office Applications.
