Job Summary:
Our client is seeking an Administrative Assistant to provide administrative organizational and financial support to ensure efficient office operations and support their finance department. This Administrative Assistant will also execute daily financial tasks including bookkeeping and accounting support.
Responsibilities:
- Oversee daily office operations including inventory management (supplies and incentives) purchase orders receivables tracking deposit preparation and office equipment maintenance.
- Provide administrative support to staff and leadership (CEO/CFO/Project Manager) including research data compilation report preparation and general project assistance.
- Coordinate meetings travel and events including logistics vendor management catering accommodations and preparation of materials and presentations.
- Manage front office functions such as answering multi-line phones directing calls greeting visitors and handling mail deliveries and facsimiles.
- Prepare proofread and maintain documents and records including correspondence reports meeting minutes and tracking community engagement and fundraising activities.
- Support office systems and procedures by making recommendations assisting with network/equipment upkeep and ensuring efficient administrative processes.
Requirements:
- Associates degree.
- 3 to 5 years of administrative operational and financial support experience.
- Proficiency in bookkeeping and accounting processes.
- Knowledge of data collection and database management.
- Advanced computer skills with regards to data entry windows-based applications for word processing spreadsheets databases and web navigation.
- Highly organized detail-oriented and able to manage multiple priorities in a fast-paced environment.
