Job Summary

JOB TITLE: Lead Registrar WAGE/HOUR STATUS: Nonexempt

REPORTS TO: Principal/ Lead Counselor

DEPT. /SCHOOL: High School DATE REVISED: April 2023

PRIMARY PURPOSE:

Maintains accurate educational records for all students. Reviews transfer records and creates academic achievement records according to state guidelines. Confirms status of state mandated testing requirements and Senate Bill 30 requirements. Assists counselors in registration and enrollment of students. Certifies rank in class. Documents all graduation requirements are met.

QUALIFICATIONS:

Education/Certification:

High School diploma or GED

Secretarial training preferred

Special Knowledge/Skills:

Proficiency in the use of a computer and knowledge and ability to use and/or learn

to use Database Internet Spreadsheet Word Processing and any other platforms needed to

perform the tasks required of a registrar

Ability to define problems collect data establish facts and draw valid conclusions

Ability to write reports business correspondence and procedure manuals

Ability to effectively present information and respond to questions from groups of managers

clients customers and the general public

Valid Texas Drivers License with driving record that meets the requirements of the District

Ability to maintain accurate and auditable records

Effective organizational communication and interpersonal skills

Experience:

Two years clerical or secretarial experience preferred

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Coordinates registration of new students.
  2. Requests records for enrollment of new students from previous school..
  3. Evaluates and analyzes all new student records and translates to Texas Academic Assessment Record.
  4. Files correspondence and maintains student records.
  5. Enters all historical grades and school codes for transfer students.
  6. Reviews all Junior (6th Semester) and Senior (7th Semester/3rd nine week) records for accuracy prior to ranking.
  7. Verifies correct school leaver codes for Public Education Information Management System (PEIMS) reporting and coordinates withdrawal records.
  8. Clarifies District policy concerning student records for outside inquiries.
  9. Responds to requests from various state and federal agencies regarding student records.
  10. Complies with record retention policies.
  11. Post nontraditional grades on transcripts.
  12. Assists with verification of graduation eligibility.
  13. Assists the department with scanning of records and documents.
  14. Implements and maintains electronic filing of student records through DocuWare.
  15. Troubleshoots all online transcripts and notifies District personnel of any problem areas.
  16. Confirms enrollment/attendance as legally appropriate.
  17. Reports credit discrepancies to counselors.
  18. Manages functions of the Counseling Office in the absence of other para-professionals.
  19. Acts as a public relations liaison to the community.
  20. Maintains confidentiality of information.
  21. Reports to work on time every day.
  22. Performs all other tasks and duties as assigned.
  23. Serve as notary public for the school.

EQUIPMENT USED:

Personal computer printer calculator copier fax machine and shredder and other general office equipment.

Mental Demands:

Ability to communicate effectively (verbal and written) and maintain emotional control under stress.

Ability to multi-task daily.

Physical Demands:

While performing the duties of this job the employee is regularly required to sit and talk or hear. The employee frequently is required to use their hands and fingers or feel and reach with their hands and arms. The employee is occasionally required to stand; walk; climb or balance; stoop kneel crouch. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision distance vision color vision peripheral vision. The employee is occasionally required to drive a personal vehicle in the performance of assigned tasks. Repetitive hand motions; prolonged use of computer; work with frequent interruptions; moderate lifting.

School district employees may be required to work from home and use their personal electronic devices.
