Twoje obowiązki
1. Koordynacja i zarządzanie procesami przetargowymi
- Kompleksowe przygotowanie dokumentacji przetargowej w tym ofert dla wszystkich jednostek biznesowych i linii biznesowych (powyżej progów unijnych) głównie w obszarze sprzętu medycznego dla postępowań przekraczających limity zamówień publicznych UE.
- Koordynacja procesów przetargowych pomiędzy wieloma działami i interesariuszami z zapewnieniem spójności danych zgodności dokumentacji oraz terminowej realizacji.
- Tworzenie i utrzymywanie kompletnego rejestru postępowań przetargowych umożliwiającego skuteczne zarządzanie złożonymi wieloetapowymi procesami.
- Ustalanie priorytetów oraz nadzór nad terminowością i kompletnością składanych ofert zgodnie z obowiązującymi terminami.
- Zapewnienie efektywnej komunikacji z Key Account Managerami.
- Doświadczenie w koordynowaniu działań związanych z potencjalnymi postępowaniami przed Krajową Izbą Odwoławczą (KIO) w tym pełne przygotowanie materiału dowodowego oraz współpraca z doradcami prawnymi.
2. Przygotowanie ofert i dokumentacji
- Przygotowywanie ofert dla klientów publicznych i prywatnych w tym realizacja działań przedofertowych (sprawdzenie zdolności kredytowej aktualizacja terminów dostaw weryfikacja danych).
- Zapewnienie kompletności poprawności oraz aktualności dokumentacji jakościowej oraz dostosowywanie jej do wymogów regulacyjnych.
- Koordynowanie procesu akceptacji ofert w dedykowanych narzędziach zgodnie z obowiązującymi procedurami i wymogami prawnymi.
3. Zarządzanie umowami
- Przygotowywanie umów dla klientów publicznych i prywatnych w tym umów demo oraz umów konsorcjalnych często wymagających zaawansowanej koordynacji pomiędzy wieloma stronami.
4. Współpraca z działami jakości i audytu
- Współpraca z zespołami ds. jakości i audytu w zakresie dokumentacji dotyczącej wyrobów medycznych.
Idealny kandydat / Idealna kandydatka:
- 35 lat doświadczenia w obszarze prawa zamówień publicznych mile widziane doświadczenie zgodnie z aktualnie obowiązującą ustawą.
- Doświadczenie i wiedza w obszarze przetargów (preferowane wyroby i sprzęt medyczny) opcjonalnie przetargi budowlane z dostawą urządzeń
- Wykształcenie wyższe (licencjackie lub magisterskie); wykształcenie prawnicze będzie dodatkowym atutem.
- Znajomość języka angielskiego na poziomie co najmniej średniozaawansowanym (w mowie i piśmie) warunek konieczny.
- Umiejętności i/lub doświadczenie w zarządzaniu projektami wymagane.
- Doświadczenie w pracy w organizacji macierzowej mile widziane.
- Umiejętność budowania zaangażowania skutecznej komunikacji oraz wywierania wpływu w środowisku wirtualnym.
- Silne umiejętności wpływu i argumentacji.
- Bardzo dobre zdolności komunikacyjne oraz nastawienie na klienta.
- Samodzielność proaktywność oraz zdolność do pracy niezależnej w środowisku wirtualnym.
- Rozwinięte umiejętności analityczne oraz dbałość o szczegóły.
- Bardzo dobra znajomość obsługi komputera oraz doświadczenie w pracy z pakietem MS Office.
Implement and improve the Sales Support Process objectives and the day-to-day management of the sales support process ensuring consistent supply of high quality services.
You are a part of
The team based in Warsaw is responsible for strategic support for sales team.
Your role:
1. Coordination and Management of Tender Processes
- Comprehensive preparation of tender documentation including bids for all business units and business lines (above EU thresholds) primarily in the area of medical equipment for procedures exceeding EU procurement limits.
- Coordination of tender processes across multiple departments and stakeholders ensuring data consistency documentation compliance and timely execution.
- Creating and maintaining a complete tender register enabling effective management of complex multistage processes.
- Setting priorities and overseeing the timeliness and completeness of bids within required deadlines.
- Ensuring efficient communication with Key Account Managers.
- Experience in coordinating activities related to potential proceedings before the National Appeals Chamber (KIO) including full preparation of evidence and communication with legal counsel.
2. Preparation of Offers and Documentation
- Preparing offers for public and private customers including performing preoffer activities (credit checks delivery time updates data verification).
- Ensuring completeness accuracy and uptodatedness of quality documentation and adjusting it to regulatory requirements.
- Coordinating the bid approval process in dedicated tools in accordance with applicable procedures and legal requirements.
3. Contract Management
- Preparing contracts for public and private customers including demo contracts and consortium agreements often requiring advanced coordination among multiple parties.
4. Cooperation with Quality and Audit Departments
- Collaboration with quality and audit teams regarding documentation related to medical devices.
Youre the right fit if:
- 3-5 years of public procurement law experience more appreciated from the current public procurement law
- Tenders experience and expertise (medical devices and equipment preferred) optionally construction tenders with the supply of equipment
- Graduate with Bachelor or Master degree (law will be appreciated)
- Intermediate English is a must(both verbal and written)
- Project Management skills/experience required
- Working in matrix organization experience preferred
- Ability to inspire commitment communicate and influence virtually
- Strong influencing skills; convincing power
- Very good communication skills and customer attitude
- Self-driven and pro-active able to work independently in virtual environment
- Developed analytical thinking skills with an eye for detail
- Computer literacy essential and experience in MS office applications
