Job Summary

We are seeking a highly proactive and detail-oriented Executive Assistant 2 to support senior leadership. This role goes beyond traditional administrative supportyou will act as a strategic partner who anticipates needs protects executive time and ensures day-to-day operations run seamlessly.

The ideal candidate is exceptionally organized thinks several steps ahead and brings strong judgment discretion and a solutions-oriented mindset.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Executive Support & Time Management

  • Manage complex high-volume calendars across multiple time zones
  • Prioritize and optimize schedules to align with business goals
  • Proactively identify conflicts and resolve them before they arise
  • Protect executive time by filtering requests and ensuring focus on highest-impact work

Anticipation & Strategic Support

  • Anticipate leader needs and prepare materials context and next steps in advance
  • Think 10 steps ahead to ensure leaders are prepared for meetings decisions and travel
  • Track priorities follow-ups and key deliverables to keep initiatives moving forward
  • Act as a trusted partner in helping the leader stay organized effective and focused

Expense & Travel Management

  • Manage expense reporting accurately and in a timely manner
  • Coordinate complex domestic and international travel including itineraries and logistics
  • Ensure seamless travel experiences with contingency planning as needed

Event Planning & Coordination

  • Plan and execute internal and external meetings offsites and team events
  • Manage logistics including venues agendas materials and communications
  • Ensure events run smoothly and reflect a high level of professionalism

Project & Operational Support

  • Support cross-functional projects by tracking timelines deliverables and stakeholders
  • Help drive operational efficiency through organization and process improvements
  • Maintain documentation reports and communication updates as needed

Executive Effectiveness & Balance

  • Help the leader maintain balance by managing workload scheduling breaks and reducing friction
  • Create space for strategic thinking by handling administrative and operational complexity
  • Serve as a gatekeeper and facilitator to ensure sustainable pace and effectiveness

Qualifications :

REQUIRED

  • 36 years of experience supporting senior leaders or executives
  • Expert-level calendaring and organizational skills
  • Strong project management and multitasking abilities
  • High level of discretion and professionalism
  • Excellent communication and stakeholder management skills
  • Ability to anticipate needs problem-solve and operate with minimal direction
  • Proficiency with productivity tools (e.g. Outlook/Google Workspace Excel collaboration tools)

Compensation & Benefits Details

  • An employees pay position within the salary range may be based on several factors including but not limited to (1) relevant education; qualifications; certifications; and experience; (2) skills ability knowledge of the job; (3) performance contribution and results; (4) geographic location; (5) shift; (6) internal and external equity; and (7) business and organizational needs.
  • The salary range is what we believe to be the range of possible compensation for this role at the time of this posting.  We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in California Colorado New York or remote jobs that can be performed in California Colorado and New York.  This range may be modified in the future.
  • If your position is non-exempt you are eligible for overtime pay pursuant to company policy and applicable laws.  You may also be eligible for shift differential pay depending on the shift to which you are assigned.
  • You will be eligible to be considered for bonuses under either WDs Short Term Incentive Plan (STI Plan) or the Sales Incentive Plan (SIP) which provides incentive awards based on Company and individual performance depending on your role and your performance. You may be eligible to participate in our annual Long-Term Incentive (LTI) program which consists of restricted stock units (RSUs) or cash equivalents pursuant to the terms of the LTI plan. Please note that not all roles are eligible to participate in the LTI program and not all roles are eligible for equity under the LTI plan. RSU awards are also available to eligible new hires subject to WDS Standard Terms and Conditions for Restricted Stock Unit Awards.
