Position Overview

AZDES DBME is seeking two reliable and detail-oriented Administrative Assistants to support daily business and operational functions. This role is primarily on-site in Tucson AZ with potential for a hybrid schedule after training is completed. The successful candidates will provide administrative customer service and front desk support while assisting disability evaluators and claim adjudicators.

Key Responsibilities
  • Operate switchboard and communication systems to answer route and transfer incoming calls.
  • Provide front desk and receptionist support including visitor check-ins taking messages and maintaining records.
  • Manage emergency calls alarms paging systems mail sorting and general customer service inquiries.
  • Locate medical providers and schedule consultative examinations (CEs) near claimant locations.
  • Prepare assemble and distribute CE packets via mail or fax as required.
  • Contact claimants to confirm appointments and request missing documentation or paperwork.
  • Respond to inquiries from claimants vendors attorneys and medical providers regarding claim status and transportation assistance (e.g. bus passes).
  • Follow up with doctors hospitals and other medical sources for reports authorizations or instructions.
  • Support claim adjudicators by contacting claimants attorneys and medical sources as directed.
  • Ensure daily assignments are tracked disseminated and completed using established tracking systems.
  • Conduct case development activities that require basic analysis and sound judgment.
Required Skills
  • Strong internal and external customer service experience
  • Front desk or scheduling experience
  • Basic to intermediate computer skills (data entry document handling email systems)
Preferred Skills
  • Bilingual (English/Spanish preferred)
