Position Overview AZDES DBME is seeking two reliable and detail-oriented Administrative Assistants to support daily business and operational functions. This role is primarily on-site in Tucson AZ with potential for a hybrid schedule after training is completed. The successful candidates will provide administrative customer service and front desk support while assisting disability evaluators and claim adjudicators.
Key Responsibilities - Operate switchboard and communication systems to answer route and transfer incoming calls.
- Provide front desk and receptionist support including visitor check-ins taking messages and maintaining records.
- Manage emergency calls alarms paging systems mail sorting and general customer service inquiries.
- Locate medical providers and schedule consultative examinations (CEs) near claimant locations.
- Prepare assemble and distribute CE packets via mail or fax as required.
- Contact claimants to confirm appointments and request missing documentation or paperwork.
- Respond to inquiries from claimants vendors attorneys and medical providers regarding claim status and transportation assistance (e.g. bus passes).
- Follow up with doctors hospitals and other medical sources for reports authorizations or instructions.
- Support claim adjudicators by contacting claimants attorneys and medical sources as directed.
- Ensure daily assignments are tracked disseminated and completed using established tracking systems.
- Conduct case development activities that require basic analysis and sound judgment.
Required Skills - Strong internal and external customer service experience
- Front desk or scheduling experience
- Basic to intermediate computer skills (data entry document handling email systems)
Preferred Skills - Bilingual (English/Spanish preferred)
Additional Requirements - Local candidates only: Candidates must reside locally at the time of submission.
