Job Summary
Overview
The Facilities Services Coordinator is responsible for coordinating and managing day-to-day facilities services across the companys portfolio ensuring the effective delivery of hard and soft services including fire services HVAC electrical general maintenance and building compliance.
This role focuses on maintaining high standards of facility operations while ensuring compliance with company policies workplace health and safety requirements and service level agreements.
The role includes providing flexible support to the Facilities and Contracts Manager and across the facilities management function during periods of high activity.
What will you be doing
- Coordinate and oversee the delivery of facilities services including fire HVAC electrical and other soft and hard services
- Provide assistance for facility services related matters to clients and staff by either face to face email phone or other approved methods to ensure Facilities are meeting company and client expectations
- Provide support across all areas of the facilities management function during peak periods or times of high need including project assistance administrative support and operational backup
- Manage the facilities help desk system ensuring timely response to and resolution of facilities-related requests and issues
- Monitor contractor performance against service level agreements and maintain quality standards
- Coordinate scheduled maintenance programs and track completion of preventative maintenance tasks
- Maintain accurate records of all facilities service activities contracts and compliance documentation
- Process facilities-related invoices and maintain budget tracking records
- Conduct regular site inspections to ensure facility standards are maintained
- Coordinate with suppliers and contractors to ensure cost-effective delivery of services
About you
- Relevant qualifications in facilities management business or related field
- Current First Aid Certificate and WHS certification
- Previous trade experience an advantage
- Current C Class Drivers licence
- Strong compliance knowledge and solid understanding of facilities operations and contractor works and demonstrated experience in facilities services coordination or operations
- Experience managing contractor relationships and service delivery
- Track record in help desk management and request coordination
- Strong ability to coordinate multiple service providers and tasks simultaneously
- Excellent interpersonal and communication skills with client-focussed approach
- Proficiency in facilities management software systems and strong computer skills in Microsoft Office Suite
- Experience in contractor management and service delivery oversight
- Budget management and cost control capabilities
