Description

Purpose of Role

Executive assistant plays a very important role in providing support to the General Manager/Area General Manager and performs many different tasks; provides the General Manager/Area General Manager with information of all the departments and is responsible for keeping a perfect coordination between all departments/GC and Regional offices and controlling their operation with regards to the brand standards.

Responsibly Description

General Administration Tasks

  • To assist and responsible for administrative and general assignments from the General Manager/Area General Manager and the A&G department.
  • To attend the Executive Morning Briefing and internal high-level meetings tracing pending issues and following up as appropriate.
  • To manage the General Manager/Area General Manager schedule arranging appointments and providing timely reminders for meetings and VIP guest arrivals.
  • To answer telephone calls and take messages for the General Manager/Area General Manager.
  • To assist with Travel Authorization form/Expenses Report for the General Manager/Area General Manager and Director of Operations.
  • To prepare complimentary vouchers with a coding system (in Shared Folders and in FIAT) for tracking.
  • To manage professionally on the required documentation purchase requests filing gift certificates and sensitive information to make sure all in line with Marriott Policy.
  • To monitor and maintain the stock levels of all necessary office supplies for the EO office.
  • To handle all contact list such as VIP corporate accounts and Marriott Taiwan sister properties.
  • To handle the rosters of Executive Office and to submit leave application records of General Manager/Area General Manager Director of Operations and Director of Quality such as annual sick public holiday and day in lieu.
  • To prepare daily VIP Welcome Card reports for the General Manager and Director of Operations.
  • To assist with the room bookings for VIP guests requested by the General Manager/Area General Manager.
  • To arrange quarterly Board of Directors meetings and prepare presentations.
  • To prepare annual documentation requested by Tourism Administration Ministry of Transportation and Communications and maintain all the Hotel information up-to-date on Taiwan Stay website.
  • To arrange annual Lama Ceremony
  • To be the member of Labor-Management Committee and to attend the required meetings.
  • To assist in the management of the A&G department function and ensure efficiency of the administration of the A&G department.
  • Follow all company policies and procedures.

Strategic Liaison (Internal) & Client Satisfaction (External)

  • To acts as the primary bridge between the EXCOM team Owners and the General Manager to facilitate smooth communication.
  • To monitor new team members and to share knowledge support onboarding and strengthen team capability.
  • To be in charge of the events from Marriott Regional team and manage the events well in order to achieve clients satisfaction.
  • To maintain a positive supportive relationship with Owners by providing flexible assistance and timely responses to all information requests in accordance with Company Policy; serve as a key liaison to facilitate clear communication between Owners and the Operations team
  • To be the point of contact with Tourism Bureau and the Government officials.
  • To maintain the relationship with all the AAs of VIP corporate accounts.

Special Assignments

  • To perform special duties/projects as required by the General Manager/Area General Manager such as VISA application and visit schedule/arrangements for GC/Regional office.
  • To take on higher-impact responsibilities and initiatives.
