JOB SUMMARY
The Accounts Receivable Specialist is responsible for managing incoming payments maintaining accurate customer accounts and supporting overall cash flow performance. This role plays a key part in ensuring timely collections while maintaining strong customer relationships and adherence to company policies.
The ideal candidate is detail-oriented proactive and able to work effectively in a fast paced team driven environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Process and post customer payments including checks ACH credit cards and wire transfers.
- Reconcile customer accounts and resolve discrepancies in a timely manner.
- Monitor aging reports and follow up on past due balances.
- Communicate with customers regarding billing questions payment status and account issues.
- Apply cash receipts accurately and ensure proper allocation across invoices.
- Research and resolve unapplied cash short payments and deductions.
- Collaborate with sales operations and customer service teams to resolve account issues.
- Maintain accurate and up to date customer account records.
- Assist with month end close activities including AR reconciliations and reporting.
- Support audit requests and provide documentation as needed.
- Identify opportunities to improve AR processes and enhance efficiency.
- Other duties as assigned.
EDUCATION EXPERIENCE & QUALIFICATIONS
Required Qualifications:
- High school diploma or equivalent required.
- 2 to 5 years of accounts receivable or general accounting experience preferred.
- Strong understanding of accounts receivable processes and cash application.
- Proficiency in Microsoft Excel and accounting systems or ERP platforms.
- Ability to analyze account discrepancies and resolve issues independently.
- Strong organizational skills and attention to detail.
- Effective communication skills both written and verbal
Preferred Qualifications:
- Associates degree in Accounting Finance or related field.
- Experience in a high volume transaction-based environment.
- Prior experience in construction flooring or distribution industry.

- Lifting/Carrying: Occasionally lifts and/or moves items weighing up to 10 pounds.
- Mobility: Occasionally required to move throughout the office to access files equipment or collaborate with team members.
- Positioning: Ability to remain in a stationary position for extended periods of time.
- Manual Dexterity: Frequently operates a computer and other office equipment including keyboard mouse and phone.
- Vision: Ability to review detailed financial data and documents with accuracy.
WORK ENVIRONMENT
The work environment characteristics described below are representative of those encountered while performing the essential functions of this position.
- Office/Design Center: Professional climate-controlled office environment with moderate noise levels (e.g. computers printers and light foot traffic).
- Operational Demands: Role may require meeting deadlines and working in a fast-paced environment.
- Safety: Requires adherence to company policies and procedures.
