Office Manager
Job Summary
- Organize office layout and order stationery and equipment
- Maintain office condition and arrange necessary repairs
- Organize office operations and procedures
- Schedule meetings and appointments
- Partner with HR to update and maintain office policies
- Ensure all items are invoiced and paid on time
- Manage contracts and price negotiations with vendors and service providers
- Manage office budget and ensure accurate reporting
- Provide general support to visitors
- Assist in onboarding process for new hires
- Address employees queries regarding office management issues
- Liaise with facility management vendors including cleaning catering and security services
- Plan in-house or off-site activities such as parties celebrations and conferences
- Coordinate travel arrangements for colleagues and clients
- Provide reports on travel expenses and recommendations for cost reduction
- Maintain database of frequent travelers and preferred suppliers
- Perform other duties as assigned
Qualifications :
- At least 2 years of relevant experience
- Proven experience as Office Manager Front Office Manager or Administrative Assistant
- Knowledge of office administration responsibilities systems and procedures
- Proficiency in MS Office (Excel Outlook)
- Excellent time management skills and ability to prioritize tasks
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Creative mindset with ability to suggest improvements
- Strong Intermediate English level
