We are looking for a detail-oriented and organized Operations Assistant to join our team at Vibes Communications. As an Operations Assistant you will play a key role in ensuring smooth business operations and supporting our team with various administrative tasks.
Job Responsibilities:
- Assist in day-to-day operations including but not limited to managing schedules organizing files and handling correspondence.
- Coordinate with team members to ensure timely completion of tasks and projects.
- Monitor inventory levels and place orders for office supplies as needed.
- Assist in coordinating meetings preparing agendas and taking minutes.
- Handle incoming calls and emails redirecting them as necessary.
- Assist in maintaining company databases and systems up to date.
- Support with general administrative tasks such as data entry filing and record-keeping.
- Provide administrative support to various departments as needed.
- Proficiency in Microsoft Office applications particularly Excel Word and Outlook.
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy in work.
- Ability to work independently and in a team environment.
- Minimum of 1-2 years of experience in an administrative or operational role.
- Experience in a remote work setting is a plus.
- Experience with VoIP solutions or telecommunications industry is desirable but not required.
