Administrative Assistant II
The USC Epstein Family Alzheimers Therapeutic Research Institute (ATRI) within the Keck School of Medicine of USC and located in San Diego California is an academic institute comprised of scientific collaborators dedicated to advancing the development of new treatments for Alzheimers disease through innovative clinical trials.
ATRI is seeking a highly organized detail-oriented Administrative Assistant to provide direct administrative support to Dr. Rema Raman. The ideal candidate will demonstrate exceptional attention to detail professionalism discretion and the ability to effectively manage multiple priorities in a fast-paced academic research environment.
Essential Duties and Responsibilities include but are not limited to:
- Edit format and finalize presentation slides and other professional materials with a high level of accuracy and consistency
- Update maintain and manage faculty Curriculum Vitaes (CVs) NIH and other funding agency biosketches and professional biographies
- Coordinate schedule and maintain meetings calendars and appointments for Dr. Rema Raman and collaborating faculty
- Process track and manage faculty travel arrangements and reimbursement requests in compliance with institutional and funding agency policies
- Maintain and update administrative databases compile data and prepare reports as requested
- Format technical and scientific materials such as manuscripts abstracts and reviews for submission to scientific journals and scientific presentations under faculty guidance
- Serve as a primary point of contact for internal and external communications exercising professionalism discretion and sound judgment
- Cross-collaborate with other administrative teams at ATRI as needed
The Administrative Assistant is expected to independently analyze organize and prioritize daily administrative activities ensure deadlines are met and support efficient office operations. The position requires strong organizational skills critical thinking flexibility excellent written and verbal communication skills and the ability to maintain a high degree of confidentiality. The Administrative Assistant is also expected to demonstrate professionalism patience and effective collaboration with other administrative assistants.
Skills required:
- Advanced proficiency with Zoom (e.g. scheduling meetings managing app integrations webinar support other features)
- Advanced proficiency with Microsoft Outlook.
The individual will also participate in special projects as assigned by their supervisor and support the efficient and effective execution of all administrative and research-related tasks and projects.
Location: San Diego CA. This position will require working onsite at the ATRI offices located in San Diego at least 4 days each week
The hourly pay range for this position is $26.59 - $35.18. When extending an offer of employment the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position the candidates work experience education/training key skills internal peer equity federal state and local laws contractual stipulations grant funding as well as external market and organizational considerations.
