Position - Export Coordination Executive
Location: Vikhroli East Mumbai
Job Summary:
The Order & Export Coordination Executive will be responsible for managing end-to-end coordination between customers factory and logistics teams. The role ensures smooth communication timely updates on orders accurate export documentation and effective handling of commercial and financial aspects related to transactions.
Key Responsibilities:
The Order & Export Coordination Executive will be responsible for managing end-to-end coordination between customers factory and logistics teams. The role ensures smooth communication timely updates on orders accurate export documentation and effective handling of commercial and financial aspects related to transactions.
Key Responsibilities:
Proactively handle communication with external customers regarding:
Purchase Orders (PO)
Advance payments payment terms and confirmations
Provide regular updates to customers on:
Shipment status against POs
Payment status follow-ups and reconciliations
Coordinate with factory teams to:
Track order progress
Share production and dispatch updates
Manage and oversee export documentation including:
Coordination with logistics partners
Ensuring compliance with export regulations and documentation requirements
Maintain and update tracking sheets for:
Orders
Payments
Shipments
Prepare and share detailed MIS reports covering order status payment tracking and delivery timelines
Work closely with internal stakeholders and support team members in documentation coordination and process improvements
Key Skills & Competencies:
Strong communication skills in English (written & verbal)
Excellent interpersonal and customer-handling skills
Good coordination and follow-up abilities
Strong attention to detail in documentation and reporting
Proficiency in MS Excel / tracking tools
Good understanding of commercial terminology and financial concepts including:
Incoterms (FOB CIF EXW etc.)
Payment terms (LC advance credit terms)
Proforma Invoice Commercial Invoice and billing processes
Basic knowledge of foreign trade and export finance
Ability to work proactively prioritize tasks and manage multiple stakeholders
Excellent interpersonal and customer-handling skills
Good coordination and follow-up abilities
Strong attention to detail in documentation and reporting
