Postal Affairs Specialist (Mailing Specialist)

Job Summary
The Mailing Specialist is responsible administrative functions related to completion of postal paperwork the processing and verification of mail and mail related operations. Point of contact for all matters regarding the United States Postal Service according to Post Printing Quality System Procedures and Work Instructions.
Duties include:
- Preflight and process mailing lists.
- Schedule production and coordinate mailing schedule with USPS and material handling. Attend daily production meetings to advise organization of work in progress potential conflicts and new opportunities.
- Determine best postal optimization by customer.
- Estimate postage produce accurate mailing statements and other and other related postal records.
- Provide billing information to customer service upon completion of job.
- Support the organization in providing guidance and answering questions on postal issues and regulations that affect our business. Develop appropriate training material including guidelines checklists and work aids. Conduct internal training.
- Develop and maintain communication with USPS staying abreast of current and future developments affecting our business.
- Stay abreast of and make recommendations on equipment and software upgrades.
- Assist in the development training and maintenance of Quality Systems Procedures and Work Instructions related to the mailing process in support of the RRD QMS.
- The individual has to work cross functionally across all departments (CSRs through Shipping) to develop processes to support mailing operations provide education to applicable roles on how they input to the process etc.
- Qualifying mail piece configuration to ensure it meets USPS standards
- Performing all mail data processing from list input to integration into variable print files
- Provide all mailing documentation for manufacturing. Qualification reports tray/pallet tags etc.
- Consult with clients when applicable to support mailing programs
- Assures the highest level of professionalism and personal performance necessary to meet or exceed performance goals set by the company for customer service excellence safety efficiency and profitability.
- Performs other related duties and participates in special projects as assigned.
Qualifications :
- A minimum of 2 years of previous experience in postal rules and regulations pertaining to the preparation and acceptance of the various classes of mail.
- Some knowledge of techniques used in offset printing to produce finished printed materials preferred.
- Ability to handle multiple issues items and functions prioritizing to achieve them as scheduled.
- Ability to contribute to a favorable working environment through a friendly and professional manner and cooperative attitude in dealing with other employees suppliers and customers.
- Ability to assist others in the department when needed to balance the workload.
- Consistently demonstrates proficiency and understanding in the use of procedures and internal documents necessary to perform required tasks.
- Can perform all tasks under minimal supervision within established quality standards.
- Understands and adhere to all established company policies with regard to safety personal conduct and applicable state and federal law.
- Ability to apply common sense understanding to carry out basic written or oral instructions.
- Strong knowledge in data management and database tools such as Excel.
- Basic skills including addition subtraction multiplication and division.
- Bonus experience working with BCC Mail Manager or similar postal processing software.
- Advanced computer skills; intermediate skills in Microsoft Office Google Docs etc.
Additional Information :
RRDs current salary range for this role is $59700 to $90700/ year. The salary range may be adjusted based on the applicable geographic location of the hired employee and the range may change in the future. At RRD it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions may vary based upon but not limited to education skills experience proficiency performance shift and location. Depending on the role in addition to base salary the total compensation package may also include participation in a bonus commission or incentive program.
