The Opportunity

The Payroll Specialist is responsible for the timely and accurate completion of the operational requirements of the payroll cycle including the processing troubleshooting and reporting of payroll and employee expense submissions.

Status: Regular Full-Time Excluded

As a Payroll Specialist you will:

Provide Payroll Support

  • Applies applicable acts collective agreement language regulations policies and procedures regarding payroll administration matters to ensure that employees are paid correctly timely and the organizations obligations are met.
  • Accurately enters and processes full cycle bi-weekly payroll for all employees and accurately monitors all adjustments new hires employment changes and terminations. Validates and audits timesheets to ensure compliance and accurate payment.
  • Prepares and remits withholdings and any necessary reporting to appropriate third parties (i.e. CRA Pensions BC CSB BCGEU etc.).
  • Ensures appropriate miscellaneous payroll expenses such as boot allowance fitness reimbursement and overtime meal allowances are legitimate and accurate before system entry.
  • Resolves all inquiries for payroll and time sheets from employees. Validates and audits timesheets to ensure compliance and accurate payment.
  • Prepares maintains and reviews payroll reports and troubleshoots errors and inconsistencies.
  • Reviews payroll systems controls documentation and procedures and makes recommendations on the development and enhancement of new and revised payroll systems and processes.
  • Acts as back up for the Payroll Business Partner.
  • Provides payroll support cross training coverage and other Finance related projects as needed.

Help with System and Data Management

  • Translates organizational requirements into payroll processes and system capabilities.
  • Works collaboratively with management in the Finance IT & Operations departments to continually enhance payroll services and data integrity. Ensures processes leverage the benefits of the HRMS and minimizes manual input and controls.
  • Administers the employee expense submission systems and procedures in line with approved corporate policies and the collective agreement to ensure that employee submissions are appropriate and approved.

Conduct Client Services

  • Responds to and resolves inquiries for payroll employee expense submissions and HRMS from employees and service providers.
  • Maintains accurate employee records and maintains integrity security and confidentiality of information received thus ensuring that the requirements under privacy legislation are met.
  • Acts as a super user of HRMS expense submissions software and provides training when requested.

Knowledge Skills & Experience you have:

  • 3 years experience with an automated/HRMS payroll system. Knowledge of UKG is an asset.
  • Requires a Payroll Compliance Practitioner certification and working toward Certified Payroll Manager certification is preferred.
  • Membership in good standing with the Canadian Payroll Association.
  • Experience administering payroll in a unionized environment preferred.
  • Knowledge of payroll systems methods practices and principles and involved in processing salaried and hourly payrolls.
  • Knowledge of year end processing and pension and benefits administration.
  • Ability to maintain confidentiality while working with employee information.
  • Ability to maintain a sustained attention to detail with a high level of accuracy.
  • Proven organizational skills and ability to multitask and meet deadlines while dealing with frequent interruptions.
  • Excellent verbal and written communication skills are required.
  • Ability to use computers in a MS Windows environment with mid-level experience working with MS Excel.
  • Excellent interpersonal and team building skills with proven experience in meeting client needs.
