Description

The Department of Internal Medicine is the largest and most complex Department in the Morsani College of Medicine with over 26 Divisions Programs and Centers/Institutes total human resources in excess of 1000 and an annual all-source budget in excess of $. The Departments ongoing growth includes the restructure of Cardiovascular Sciences from a separate Department to a Division support of the microbiome initiative and the execution of clinical research and education initiatives focused on COVID-19 and emerging infectious diseases. The mission of the Department is to rank among the elite in the nation in the areas of education research and patient care. The Department provides education and training for a diverse group of medical students residents fellows and health personnel from USF and throughout the world.

The Departments research activities are numerous and involve both basic and clinical research activities in all sub-specialties of Internal Medicine. Our National Institutes of Health (NIH) funding is in excess of $120 million over the past 3 years. Patient care occurs in our affiliated hospitals (including Tampa General Hospital H Lee Moffitt Cancer Center and Research Institute James A Haley VA Hospital Florida Hospital) as well as our state-of-the-art ambulatory health care centers. The Department also provides healthcare support and services via contractual arrangements with many diverse organizations. The US News & World Report recent rankings of our sub-specialties include Nephrology at 18 and Gastroenterology at 24 and Primary Care at Departments faculty represent a group of dedicated physicians that are well-recognized as leaders in all three mission areas.

This position reports to the Associate Department Administrator and serves as an administrative support resource for the Division of Hematology. Additionally this position will serve as the coordinator for the Hemophilia Treatment Center. This position will perform a wide range of administrative and operational duties across mission areas including preparing spreadsheets correspondence reports and presentations supply management handling information requests planning conferences and meetings. This position will also answer the main phone line therefore will have contact with patients patients families clinicians pharmacy and others.

This position operates on 3-days in-office 2-days remote schedule.



Responsibilities
  • Promotion development coordination and evaluation of the programs and services provided by the USF Hemophilia Program to meet the needs of the community for which it serves. Serves as a liaison between community and university partners to support the overall mission of the program. Ensures that the goals and objectives of the Hemophilia program are accomplished by daily operational management the development and delivery of program content and services and the collection and analysis of program evaluations. Participates in the recruitment selection placement training and assignment of designated support staff. May have occasional travel to deliver client services conduct presentations and workshops meet with funding source representatives attend professional development conferences or for other purposes required to support the program.
  • Management of daily operations including invoice management and the tracking of programmatic expenses. Work with program social workers and clinical team to Coordinate the pediatric and adult transition programs from area hospitals. Coordinates data collection and activities of projects including needed post-test and follow-up assessments. Develop data collection methods to determine the impact of the program on the local community. Compiles data reports by scheduled due dates and analyzes the data to further evaluate program effectiveness.
  • Assist in division communications
  • Assist in updates and maintenance of community engagement resources (i.e. website research pages).
  • Assist in management of social media pages
  • Responds to calls from families or professionals concerning client needs. Provides information general advice and an overview of services provided by the program (specifically 340b program). Responds to calls related to human services programs including behavioral health needs and provides information or referrals as appropriate. Responds to internal and external requests for research and information on specific topics related to program. Requires researching a number of sources both inside and beyond the program.
  • Coordinates patient schedule for Hemophilia clinic and ensures patients are seen at least annually in the Hemophilia clinic.
  • Coordinates two conferences per year (Outreach for Education for Women with Bleeding Disorders). Work collaboratively with community partners funding organizations and the university to assess community needs. Creates quarterly patient newsletters. Creates patient educational materials (ER booklets ER cards/pamphlets). Speaking engagements at program dinners and conferences (may include evening/weekend travel.
  • Maintains resources and does library and internet research for the Hemophilia program (i.e. special education educational opportunities community-based support changes in laws and other policy at the local state and national level).


Qualifications

This position requires a Bachelors degree in a field directly related to Healthcare Administration Project Management Business Administration and two years of professional experience; or Masters degree in Healthcare Administration Project Management Business Administration.

Degree Equivalency Clause: Four years of direct experience for a bachelors degree.

Minimum Qualifications that require a high school diploma are exempt from

Preferred Education/Experience:

Advanced knowledge of medical office operations. Advanced knowledge of word processing spreadsheet and other personal computer applications. Advanced knowledge of office practices and procedures. Previous medical experience or work in a multi-physician office is helpful and preferred.

Special Skills/Training:

Knowledge of 340b business operational standard and HRSA compliance.
