SUMMARY: Responsible for providing administrative/secretarial support to principal and other designated staff. Duties include performing personnel management functions for support staff and substitutes; screening and directing phone calls; assisting with financial duties and monitoring school budget; creating and maintaining internal communications to staff and building partners.
ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. - Provide administrative/secretarial support to the Principal and other designated staff by composing typing word processing and/or formatting correspondence newsletters handbooks reports and programs; managing the calendars of the principal and leadership staff; coordinating meetings taking typing and distributing meeting minutes; creating and maintaining filing systems; preparing/distributing mail; employing phone skills related to receiving calls from the general public; and other related duties.
- Perform personnel management functions including managing employee time and attendance by tracking daily absences entering time and attendance data and submitting related reports managing substitute coverage for the building maintaining and updating all personnel changes preparing various payroll documents and scheduling interviews. Maintain confidentiality of all related data. Assisting supervisors with new support personnel hires and their orientation to include familiarizing them with the online professional development system.
- Assist with financial duties for the school including monitoring school budget(s) and reporting variances to supervisor; maintaining bookkeeping-related databases; performing purchasing card requisitions; receiving inventorying and delivering incoming shipments; maintaining and organizing all purchase order processes invoices and packing slips; collecting monies for student parking; fundraisers fines fees and other activities; preparing and making bank deposits; creating and submitting reports to Financial Services; managing petty cash account and reimbursement checks; reconciling school accounts and bank statements; processing monthly budget reports after supervisors review; refunds and reimbursements to students staff and guardians.
- Perform other duties as assigned including creating and maintaining internal communications to both staff and building partners; providing back-up coverage to other positions registering new students member of the safety team testing preparations attendance assisting students in the health clinic and contacting parents/guardians as necessary reception duties parent/teacher conferences. Clinic duties may include assisting students with minor injuries and illnesses dispensing authorized medication contacting parents or emergency medical personnel if needed and keeping accurate records of care given.
- Other duties as assigned: general building operations in concert with school leadership; point of contact for Facilities and other District Departments located at DHS manage work orders space reservations and IT tickets. Managing bells software. Electronic student ID and hallpass platform manager. Assign track and collect building access for staff including key and badge distribution. Assist with planning and executing the Graduation Ceremony including preparing the program and script for the ceremony.
- Other duties as assigned.
EDUCATION AND TRAINING: High school diploma or equivalent.
EXPERIENCE: Experience in an educational setting is preferred but may not be necessary for hiring.
CERTIFICATES LICENSES & REGISTRATIONS: Criminal background check required for hire. CPR and First Aid training preferred at hire; required one month after hire. Meds administration required one month after hire.
