Purpose: The Elementary Building Secretary assists the principal with the efficient operation of the school by coordinating clerical support in the front office and working closely with administration staff students and parents.

- High School diploma or equivalent.
Experience:
- Experience using computers telephones photocopy machines fax machines and other office equipment.
- Experience with word processing spreadsheets databases and other clerical software.

Specific Functions and Responsibilities:
- Maintain accurate filing systems for students staff and administration.
- Provide office and clerical support to assist with the efficient operation of the school.
- Ensure all visitors to the school are greeted and appropriately identified.
- Answer and transfer incoming calls; send and receive faxes.
- Screen and route incoming mail; properly prepare outgoing mail.
- Maintain accurate records for daily student attendance including collection of doctor notes parent notes and tardies.
- Conduct necessary follow up as needed to check on student absences and report attendance problems to administration.
- Coordinate collection of assignments for students who are absent from school to be given to parents.
- Record and maintain accurate profile data for all the students in PowerSchool.
- Maintain accurate permanent records for students including proper file management for incoming and outgoing transfer students.
- Coordinate and assist with yearly enrollment process.
- Distribute and collect purchase card statements for teachers.
- Maintain calendar for PTO (Parent-Teacher Organization).
- Facilitate filling of teacher absences in coordination with district office staff.
- Assist Principal with Principals Building Report and other required district and state reports.
- Assist staff with the proper use of copy machines and any necessary troubleshooting.
- Collaborate with transportation staff to meet student transportation needs.
- Distribute various communications for students as needed.
- Coordinate supply orders requested by teachers or administration.
- Administer first aid to ill or injured students in the absence of the school nurse in accordance with school policy.
- Coordinate PSU student placements with the university and building teaching staff.
- Prepare correspondence reports lists envelopes and similar routine material as assigned.
- Assist Principals with time sheets of hourly employees as needed.
- Assist with the proper supervision of students as needed including before and after school hours.
- Maintain inventories of office supplies and materials and order replacement supplies as needed.
- Prepare announcements and place them on school website.
- Perform other duties as assigned by the Building Principal.
Physical Requirements/Environmental Conditions
- Requires prolonged sitting or standing.
- Requires physical exertion to manually move lift carry pull or push heavy objects or materials.
- Requires stooping bending and reaching.
- Must be able to adapt to a fast-paced multi-faceted office environment.
