DescriptionAbout the Role
The Mount Royal University Conservatory is seeking a dedicated and organized Audition Assistant to join our team with a main focus on scheduling and coordinating auditions for the Academy Advanced Performance Program and Conservatory Orchestras. The ideal candidate will possess excellent communication skills and has great attention to detail to effectively coordinate and schedule auditions for 200 applicants.
Working within the Mount Royal University Conservatory this is a flexible position whose work schedule is variable and may include an irregular schedule of not less than three (3) hours per shift and up to sixteen (16) hours per week.

Responsibilities
Duty A: Scheduling Auditions (30%)
Coordinate audition schedules for prospective applicants to the Academy APP and Conservatory Orchestras.
Liaise with faculty members applicants and relevant staff to arrange audition dates and times.
Adhere to Mount Royal University standards policies and guidelines.
DUTY B: Communication (20%)
Serve as the primary point of contact for prospective applicants regarding audition logistics and requirements.
Communicate audition details schedules and expectations clearly and promptly to all applicants and faculty.
DUTY C: Coordinating Audition Logistics (20%)
Arrange audition rooms equipment and other logistical needs in collaboration with facilities and technical staff.
Ensure all necessary resources are available for auditions such as accompanists or technical support.
Oversee the smooth execution of auditions on the scheduled dates resolving any issues that may arise
DUTY D: Data Management (20%)
Maintain accurate records of audition schedules applicant information and outcomes.
Input audition results and feedback into relevant databases or systems.
Assist with the creation and distribution of acceptance letters for admitted applicants
Generate reports as needed to track audition statistics and trends.
DUTY E: Collaboration and Support (10%)
Collaborate with admissions staff to ensure seamless integration of auditions into the overall admissions process.
Provide administrative support to the Conservatory Coordinators as needed.
Assist with other program-related tasks and initiatives as assigned
Qualifications
A background in music is required (must have knowledge of instruments and music terminology)
High school education plus additional post-secondary course work
Prior experience in scheduling event coordination or administrative support role preferred.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to multitask and prioritize tasks effectively.
Proficiency in Google suite and other relevant software applications.
Proactive and self-motivated with a positive attitude.
Ability to work independently as well as part of a team.
Strong interpersonal skills with the ability to interact professionally with diverse stakeholders.
Flexibility and adaptability to changing priorities and deadlines.
Commitment to maintaining confidentiality and handling sensitive information with discretion.
Salary: $21.23 per hour
