Position Summary:
The Inventory Specialist is responsible for managing tracking and maintaining all school assets instructional materials and operational supplies. This role ensures accurate inventory control compliance with procurement and asset management protocols and the timely distribution of materials to classrooms and departments. The Inventory Specialist supports efficient school operations by maintaining organized systems for ordering tagging storing and auditing all items across the building.
Key Responsibilities:
- Maintain an accurate real-time inventory of all school equipment furniture technology and instructional materials.
- Tag and log all new assets in accordance with school and organizational inventory protocols. Create Qr-Coding system to cross reference materials and locations as well as items in storage room movement
- Conduct routine inventory audits and reconcile discrepancies promptly.
- Monitor supply levels and coordinate timely reordering to prevent shortages.
- Receive inspect and verify deliveries against purchase orders and packing slips.
- Organize and maintain storage areas to ensure items are easily accessible and properly secured.
- Distribute materials and equipment to classrooms and departments based on approved requests.
- Track movement of items between rooms and floors to maintain accountability.
- Ensure compliance with internal controls reimbursement procedures and purchasing policies.
- Prepare inventory reports for school leadership including loss prevention and usage trends.
- Support annual asset inventory reviews and end-of-year closeout procedures.
- Collaborate with finance and operations teams to support budgeting and forecasting needs.
Qualifications:
- Associates or Bachelors degree in Business Administration Operations Logistics or related field preferred.
- Minimum of 2 years of experience in inventory control supply chain or school operations.
- Knowledge of and identifying Montessori materials within grade spans.
- Strong organizational and record-keeping skills.
- Experience with inventory management systems or spreadsheets (e.g. Excel asset tracking software).
- High attention to detail and ability to manage multiple priorities.
- Strong communication and collaboration skills.
- Ability to lift and move boxes up to 2540 lbs and navigate school facilities as needed.
