Why this role is important to us

The Lead Executive Assistant provides highimpact strategic operational and administrative support to C-level senior executives within the organisation. Operating with a high degree of autonomy judgement and discretion this role ensures the smooth functioning of executive priorities and organisational workflows.

In addition to supporting C-level senior leaders directly the Lead EA serves as a manager offering daytoday leadership coaching and operational oversight to a small team of administrative professionals (typically 12 FTE). This role sets the standard for high-quality administrative operations and acts as a key enabler of executive and organisational effectiveness.

What you willbe responsible for

Executive Support

  • Provide proactive highlevel executive support including complex calendar management inbox triage scheduling prioritisation and travel coordination.

  • Anticipate needs and strategically manage competing priorities to protect executive focus and enhance productivity.

  • Prepare coordinate and review briefing documents presentations and meeting materials.

  • Act as a trusted liaison between the executive and internal/external stakeholders ensuring clear communication and followthrough.

  • Drive preparation and logistics for leadership meetings offsites and strategic planning sessions.

  • Manage sensitive information with utmost confidentiality and professionalism.

Operational Excellence

  • Streamline and optimise administrative processes to enhance efficiency across the executive office.

  • Support budget tracking procurement and expense management.

  • Lead special projects and operational initiatives on behalf of the executive; coordinate crossfunctional efforts where required.

  • Support executives rhythm of business ensuring deadlines key deliverables and governance processes are consistently met.

People Leadership (12 Direct Reports)

  • Provide daytoday management coaching and professional development for a small team of administrative professionals.

  • Set clear expectations establish best practices and model high standards of performance.

  • Oversee workload allocation across the team to ensure balanced capacity and optimal service delivery.

  • Conduct performance conversations and partner with People teams on talent development and career growth.

  • Cultivate a collaborative inclusive and consistently performing team culture.

Stakeholder Management

  • Build trusted relationships with internal leaders at all levels cross-functional partners and external stakeholders to support executive priorities.

  • Serve as a knowledgeable point of contact for information flow into and out of the executive office.

  • Influence and coordinate across teams to drive alignment and progress on shared goals.

What we value

  • Extensive experience as an Executive Assistant or Senior Administrator supporting Csuite or senior executives in complex evolving environments with solid judgment and a commitment to confidentiality.

  • Demonstrated ability to triage and sequence competing demands across multiple stakeholders and time zones.

  • Strong relationship building capable of persuading and aligning senior stakeholders without formal authority.

  • Effective written and verbal communication adept at crafting briefs decks and executive narratives.

  • Navigates ambiguity anticipates issues and makes impactful decisions managing priorities without direct supervision.

  • Experience managing or coaching administrative professionals sets expectations gives feedback and develops capability.

  • Advanced proficiency with Microsoft 365 (Outlook Teams PowerPoint Excel SharePoint).

  • Solid organisation coordination and project execution skills.

  • Experience in matrixed or global organisations.

Scope & Impact

Geographic scope: Supports executive operations globally.

Budget Responsibility: Manages and monitors executive office expenses and operational budget elements ensures compliance with governance standards typical of management level oversight.

Decision Making Authority: Makes independent operational decisions affecting the executives priorities and workflow exercises judgement aligned to a senior specialist and entry level managerial role.

Organisational Impact: Improves executive effectiveness and streamlines workflow efficiency sets standards and processes that influence multiple teams or functions.

Stakeholder Influence: Represents the executive office with authority persuades senior leaders partners and cross functional teams to ensure alignment and progress on priorities.
