Position Overview
We are seeking a dependable and organized Administrative Assistant to serve as the face of our office and help keep daily operations running smoothly. This role goes beyond traditional reception duties and plays a key part in supporting the team through purchase orders billing and overall office coordination.
The ideal candidate is detail-oriented positive and able to manage multiple responsibilities in a fast-paced environment while maintaining a high level of professionalism.
Key Responsibilities
- Manage high-volume inbound calls and direct inquiries appropriately
- Greet and assist visitors customers and vendors in a professional and welcoming manner
- Prepare and process purchase orders (POs) for the division
- Handle billing and posting for all jobs/projects
- Support day-to-day administrative and office operations
- Assist with various projects and tasks as needed
- Maintain consistent attendance and reliability in supporting office functions
- Help keep the office organized efficient and running smoothly
Skills & Qualifications
- Strong communication and interpersonal skills (must be people-focused and positive)
- Highly organized with strong attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Proactive self-motivated and takes ownership of responsibilities
- Strong problem-solving skills and sound judgment
- Ability to work both independently and as part of a team
- Professional demeanor in appearance communication and behavior
- Proficient in Microsoft Office
Requirements
- Minimum of 1 year of administrative or front office experience
- Experience handling billing invoicing or purchase orders is a plus
- Reliable punctual and detail-oriented
